JOB SUMMARY

This is not a typical back-office role. We are looking for a highly motivated and technically skilled Pre-construction Coordinator to be on the front lines of our multi-family projects. The ideal candidate thrives on turning complex plans into tangible reality, lives in construction software, and understands that success is in the details. You will be a key partner to the Project Manager, ensuring our projects start on solid ground—on budget, on time, and with the best team of subcontractors.

Responsibilities:

Pre-construction Management

  • Coordinate and manage permit applications at the local, county and state levels, ensuring timely and accurate submissions in line with project schedules.
  • Serve as the liaison with municipal authorities and regulatory agencies, following up on and resolving permitting issues as they arise.
  • Maintain a comprehensive permit tracking log, providing the project team with real-time updates on submission status and outstanding requirements.

Project Controls & Documentation

  • Champion the use of Procore across the project team, managing all critical documentation from drawings to RFIs within the platform.
  • Manage the RFI and Submittal process with precision, ensuring a seamless flow of information that keeps the project moving forward.
  • Record, distribute, and archive clear and concise meeting minutes to ensure follow-through on key action items and decisions.

Proactive Project Support

  • Attend internal and external progress meetings, representing the project team and providing updates on pre-construction, construction, and permitting milestones.
  • Assist with the preparation and coordination of regulatory filings and compliance documentation, including environmental, utility, and zoning requirements as needed.
  • Identify long-lead items early and assist in coordinating their procurement to protect the project.

Essential Technical Skills

  • Proficiency in Procore is Preferred.
  • Advanced skill in Bluebeam Revu is preferred.
  • Mastery of the MS Office Suite, particularly Excel.

Construction Experience

  • A Bachelor's Degree in Construction Management, Engineering, or a related field is a plus, but we will strongly consider candidates with 3+ years of direct, high-performance experience in the US construction industry.
  • Experience in large-scale, multi-family wood-frame construction is a significant advantage.
  • A fundamental ability to read, interpret, and understand architectural and engineering plans and specifications.

  • Able to work in confined spaces, indoors and outdoors in all climates, this includes working in extreme weather conditions such as snow, rain, storm, heat, etc. and unclean environments with fumes, dust and poor ventilation while adhering to company safety requirements and programs.
