TalentWealth Recruiting, a boutique financial services recruiting firm, is recruiting for an exciting opportunity. An independent financial advisory practice located in Melville, NY is hiring an experienced Practice Manager/Executive Assistant to their growing team.

Position Summary:

We are seeking an exceptional Practice Manager to serve as the trusted right hand to our CEO and top-producing advisor. This vital role provides day-to-day practice management, operational oversight, and executive-level support — ensuring the CEO's time is focused on revenue-generating and relationship-building activities that drive the firm's success. The Practice Manager acts as a key point of contact internally and externally, keeps a finger on the pulse of all aspects of the firm's operations, and proactively drives efficiency, accountability, growth, and client engagement.

We are especially interested in candidates who can bring fresh ideas and strength in marketing initiatives to help us enhance our brand presence, deepen client relationships, and expand our reach in the community.

Key Responsibilities:

Executive Support to the CEO & Lead Advisor

  • Provide high-level administrative support, including complex calendar management, travel coordination, and correspondence.
  • Serve as gatekeeper for the CEO's time by prioritizing requests and managing communications.
  • Prepare meeting materials, presentations, reports, and follow up on action items to ensure execution.
  • Anticipate needs, resolve issues proactively, and handle confidential information with the utmost discretion.

Practice Management & Operations Oversight

  • Maintain a comprehensive understanding of the firm's business, workflows, client relationships, and strategic initiatives.
  • Oversee daily operations, ensuring tasks and projects are completed efficiently and accurately.
  • Coordinate with advisors, client service teams, and operations staff to resolve issues and enhance processes.
  • Support compliance and recordkeeping in partnership with the firm's operations or compliance team.

Project, Marketing & Team Management

  • Manage and track key strategic initiatives and projects from inception through successful execution.
  • Monitor progress against goals and provide regular status updates to the CEO.
  • Organize and lead internal meetings, ensuring clear agendas and timely completion of action items.
  • Develop and coordinate marketing activities, including client communications, events, social media, and branding efforts to strengthen the firm's visibility and growth.
  • Assist with onboarding and training of new team members as needed.

Client & Relationship Management Support

  • Act as a liaison between the CEO and high-value clients, strategic partners, and centers of influence.
  • Draft and send client communications when appropriate, maintaining a professional and polished image on behalf of the CEO and the firm.
  • Ensure clients and partners feel supported through timely, clear, and thoughtful communication.

Qualifications:

  • 5+ years of experience in financial services, wealth management, or a professional services environment.
  • Proven experience supporting C-suite executives or top producers.
  • Series 7 and 66 licenses highly preferred
  • Strong organizational skills with exceptional attention to detail and follow-through.
  • Ability to manage multiple priorities with a sense of urgency in a fast-paced environment.
  • Strong marketing experience or a demonstrated ability to support branding and outreach initiatives.
