Location: West Haven, CT (Hybrid – 3 days onsite, 2 days remote)

The Role

As a Service Coordinator, you're the quarterback of the repair process. Once a ticket comes in, it's yours. You'll write it, stage it, get it approved, coordinate with Parts and Scheduling, keep the customer informed, and make sure it's billed correctly. You're not stuck behind a counter selling — you're in the middle of the action, making sure every job flows from start to finish without dropping the ball.

What You'll Do

  • Take tickets from the Dispatcher and run them start to finish.
  • Write clean, detailed Repair Orders (Customer Concern, Findings, Proposed Service).
  • Partner with Parts to make sure everything's staged and ready before the tech rolls out.
  • Get approvals — whether from a leasing company, a fleet manager, or a direct customer.
  • Line up techs and deadlines with Scheduling so jobs get done on time.
  • Keep customers in the loop with clear, direct communication.
  • Close the loop when the job's done: “Here's what we found, here's what we did, here's the outcome.”
  • Finalize billing once the documentation and photos are complete.
  • Own repeat or unfinished jobs until they're resolved and billed — no loose ends.

What We're Looking For

  • Experience in service writing, coordination, or billing (fleet or dealership a plus).
  • Strong mechanical knowledge of PM and repair for light/medium-duty vehicles.
  • Detail-driven and organized — you like things to move cleanly and efficiently.
  • Comfortable managing a high-ticket volume without losing accuracy.
  • Proficient with shop management systems (ShopMonkey, TechMetric, or similar).
  • Great communicator who can work across teams and with customers.

Rate of pay: Base of $22/hourly (~$45,760 annually at 40hrs/week) with Bonus Opportunities.
