Job Summary:

We're seeking a proactive, detail-oriented People Operations Coordinator to support our team across HR, operations, and marketing functions. As part of a small, collaborative organization, this role offers a unique opportunity to dive into a variety of people-focused initiatives - including full-cycle hiring, compliance, state filings, employee engagement, benefits administration, and offboarding - while also contributing to key operational and marketing efforts.

People Operations Coordinator Key Responsibilities:

Hiring Support

  • Post and manage job listings across multiple platforms
  • Review incoming applications and identify qualified candidates
  • Conduct initial screening interviews and support interview coordination
  • Manage communication with candidates throughout the hiring process
  • Monitor and evaluate candidate assessments
  • Conduct reference checks and support background check coordination
  • Assist with offer preparation, onboarding logistics, and offboarding coordination
  • Maintain the hiring pipeline tracker and provide regular updates to the leadership team on candidate status and progress

Team Support

  • Coordinate performance review cycles, team surveys, and trainings
  • Maintain team databases and ensure accurate documentation
  • Lead communication around team anniversaries, birthdays, and out-of-office updates
  • Manage and track Remote Work Stipend reimbursements and employee rewards program
  • Assist with benefits administration and support open enrollment logistics
  • Manage and update employee records, policies, and HR documentation
  • Help plan and execute team engagement initiatives, including team meetings, team building activities, and recognition efforts

Retreat Planning

  • Assist the Operations Manager in planning, coordinating, and executing the annual team retreat, including logistics, vendor coordination, agenda development, and team communications

HR Compliance & State Filings

  • Maintain active state registrations and ensure timely filing of annual reports and other required documentation
  • Monitor and support compliance with multi-state employment laws and requirements
  • Collaborate with Gusto and follow up on state-related issues or filings that require additional support
  • Track deadlines, renewals, and documentation to ensure organizational compliance across states

Operations & Administration

  • Organize and maintain digital systems, including Canva, Google Drive, Dropbox, LastPass, ConvertKit, WordPress, and others
  • Support process improvement and project tracking efforts across departments
  • Assist with vendor coordination, contract tracking, and compliance-related tasks
  • Support finance and IT operations as needed
  • Manage the company's general email inbox, triaging messages and ensuring timely follow-up or delegation
  • Coordinate the ordering of marketing collateral and shipping labels
  • Track and report on key operations and marketing metrics
  • Schedule marketing emails using ConvertKit
  • Make basic updates to the website via WordPress
  • Help maintain assets and files in systems like Canva and Google Drive

Special Projects

  • Partner with the Director of Operations on cross-functional initiatives related to team experience, internal communications, or operational planning
  • Contribute to DEI, wellness, and culture-building initiatives
  • Support graphic design needs, if skills and interest align

Required Skills/Abilities:

  • Experience managing full-cycle hiring support, including job postings, screening, interviewing, and onboarding/offboarding coordination
  • Strong project management skills with the ability to juggle multiple priorities
  • Excellent written and verbal communication skills
  • High level of discretion and ability to handle confidential information
  • Proficiency with digital tools such as Google Workspace, Monday.com, Slack, Zoom, LastPass, and Gusto
  • Ability to translate complex processes into user-friendly documentation and training
  • Experience working in a nonprofit or mission-driven organization
  • Experience working remotely and managing distributed team communications effectively

Bonus Skills/Abilities:

  • Experience with graphic design tools and creating branded materials in Canva
  • Experience with email marketing platforms (ConvertKit) and website content management systems (WordPress)
  • Previous involvement in planning and executing team retreats or large-scale events

Education and Experience:

  • Bachelor's degree in Business Administration, Human Resources, Communications, or related field preferred; or equivalent combination of education and relevant experience
  • 2+ years of experience in HR or People Operations, with additional experience in operations or administrative experience preferred
  • Project management experience with demonstrated ability to manage multiple client relationships simultaneously
  • Experience supporting multiple departments or cross-functional teams is a plus
  • Experience using Gusto is highly desirable

Physical Requirements:

  • Prolonged periods of sitting at a desk and working at a computer
  • Repeated and coordinated use of your hands, wrists, and fingers to use and type on a computer keyboard, requiring the use of fine motor skills
  • Close vision, distance vision, color vision, peripheral vision, depth perception, and ability to adjust focus
  • Ability to stand for extended periods during the annual team retreat
  • Ability to lift, carry, and move items up to 25 lbs., including event materials and equipment during the annual team retreat
  • Ability to bend, reach, and perform physical setup and teardown of meeting spaces and activities during the annual team retreat

Schedule:

  • Remote - Full-time position
  • 8-hour shift, closely aligned with a 9am Eastern start time

Logistics:

  • This is a full-time, non-exempt, W2 employee position.
  • We offer a flexible, remote work environment.
  • You must be available to respond to team communication and take meetings during regular business hours in the US, closely aligned with a 9am-5pm Eastern schedule.
  • You have your own computer and stable internet access.
  • You maintain a workspace free of unnecessary distractions where client and internal calls may be taken in a professional manner.
  • You are able to be on video chat for scheduled meetings.

Annual Salary Range: $50,000-$65,000

The final salary will be determined based on several factors including experience, education, qualifications, as well as the need to maintain internal equity within the company.
