As we continue to grow, we currently have a tremendous opportunity for a Payroll Supervisor who is up for the challenge.Summary/Objective:The Payroll Supervisor is responsible for all functions related to the processing of the Company's payroll. They ensure accurate and timely processing for each bi-weekly cycle. They partner with management team members to improve payroll-related activities. Essential Functions:The following list of essential functions is not intended to be restrictive or all inclusive.   • Supervise, audit, and guarantee bi-weekly processing of multi-state payroll, including garnishments, benefits and taxes to all employees consistent with federal, state and local wage and hour laws
  • Oversee the reimbursement of employee expenses as part of the bi-weekly payroll process including updating summary file from Navan, coordinate review of expenses submitted via Navan with Payroll Administrator for accuracy per company policy and ensure reimbursements are imported into the payroll system
  • Ensure the processing of new hires, changes, transfers, promotions, and terminations is accurate and timely in payroll system
  • Supervise Payroll Administrator, maintain staff training, including key aspects of payroll laws and timekeeping, company policies, and payroll systems
  • Support Management and employees as customers, and act as a liaison with colleagues in HR, Accounting, etc. in a team environment
  • Critically review and analyze current payroll, benefits and tax procedures in order to recommend and implement changes leading to best-practice operations
  • Stay current on federal, state and local tax and other regulatory changes with impact on payroll operations
  • Audit W-4s, payroll balance sheets, YTD earnings, etc.
  • Communicate actively with Operations, HR and Accounting to review cross-departmental impacts and reconcile data sharing
  • Partner with HR in aligning and implementing and integration between payroll and benefits plans
  • Ensure systems are set-up and updated to reflect our current employee base, including wages, benefits, and paid time off in line with company policy
  • Manage regular preparation of relevant management reports, including weekly, monthly, quarterly and year-end reports (gross payroll, hours worked, time off accrual, tax deductions, benefit deductions, etc.)
  • Act as liaison between company and ADP on all payroll products concerning issues, connectivity, validation table set up, accumulator calculations, data accuracy and system management; assist in set up and administration of all available ADP products
  • Facilitate management and employee training and understanding of payroll procedures
  • Provide ad-hoc management reporting and data requests as appropriate
  • Responsible for creating continuity documentation on payroll processes and training
  • Learn relevant local and company requirements, rules and procedures; strictly follows rules and guidelines and always uses the right procedure for the job
  • Promptly reports issues, risks or insufficient processes
  • Other related duties as assigned
Supervisor Responsibility: This position supervises the day to day activities of assigned staff in their operational area. They actively participate in the selection, hiring, evaluation, discipline, training, scheduling, and development of staff. Work Environment: Corporate office: indoor and climate-controlled. Physical Demands: The physical demands described here are representative of those that must be met by an employee to successfully perform the essential functions of this job. Sitting, standing, walking, keyboarding, speaking, hearing and near visual acuity; continual use of computer and other office equipment, occasional lifting/carrying and pushing/pulling. Travel: Minimal travel is required for this position. Qualifications and Requirements:
  • Bachelor's degree in Accounting, Business, or Finance or comparable experience
  • Five (5) or more years of experience processing and supervising a multi-state payroll department
  • Five (5) or more years of experience with federal, state, and local payroll taxes
  • Five (5) or more years of experience using HCM/Payroll platforms, ADP preferred
  • Three (3) or more years of experience with California wage and hour laws
  • Excellent written and verbal communication skills
  • High attention to detail to ensure all tasks are completed accurately
  • Intermediate to advanced Microsoft Excel, Word, Teams, and Outlook use
