Job Summary:

The Payroll Specialist plays a crucial role in ensuring that all employees are compensated accurately and on time, which is vital for maintaining employee satisfaction and trust. This position involves managing the entire payroll process, including the calculation of wages, deductions, and taxes, while ensuring compliance with federal, state, and local regulations. The Payroll Specialist will also be responsible for maintaining payroll records and resolving any discrepancies that may arise. By utilizing ADP Workforce Now, the specialist will streamline payroll operations and enhance efficiency. Ultimately, this role contributes to the overall financial health of the organization by ensuring accurate payroll management and reporting.

*The ideal candidate must reside in Houston Texas, as this is a full-time, hybrid HR Payroll Specialist position.

Key Responsibilities:

  • Process payroll for all US and contract employees on a bi-weekly basis, ensuring accuracy in wage calculations and deductions.
  • Maintain and update payroll records, including employee information, tax withholding, and benefits deductions.
  • Oversee all timecard-related processes, ensuring accurate and timely submissions from employees and contractors.
  • Review and audit time entries for completeness and compliance with company policies.
  • Collaborate with employees, contractors, and managers to resolve timekeeping discrepancies promptly.
  • Ensure time data is properly approved and transmitted for payroll processing in accordance with payroll deadlines.
  • Ensure compliance with federal, state, and local payroll tax regulations and reporting requirements.
  • Resolve payroll discrepancies and respond to employee inquiries regarding payroll issues.
  • Utilize ADP Workforce Now to manage payroll processes and generate reports.

Required Qualifications:

  • Bachelor's degree in accounting, Finance, or a related field.
  • 3-5 years of experience as payroll specialist or in a related field, preferably in healthcare, pharmacy, or healthcare- related environment.
  • Minimum of 3 years of experience with ADP Time & Attendance and Payroll modules.
  • Minimum of 3 years of experience in payroll processing and administration.
  • Strong knowledge of payroll tax regulations and compliance.
  • Proficient in Microsoft Excel, including the use of formulas, data analysis tools etc.

Preferred Qualifications:

  • Master's degree in accounting, Finance, or a related field.
  • Bilingual in English and Spanish is a plus
  • PHR or SHRM-CP certification (or in progress)
  • Experience using Google Workspace applications, including Google Docs and Google Sheets.

Physical Requirements:

  • Ability to sit or stand for extended periods of time.
  • Must be able to lift 15 pounds at times.
