The Payroll Specialist & HR Assistant is responsible for processing the organization's payroll accurately and on time, while also supporting daily HR functions including employee onboarding, recordkeeping, and benefits administration. This role requires strong attention to detail, discretion, and the ability to handle sensitive information. Key Responsibilities:Payroll (Primary - approx. 60%):
- Process weekly payroll for all employees using Paylocity.
- Ensure compliance with federal, state, and local payroll, wage, and hour laws and best practices.
- Maintain accurate payroll records and reports; respond to internal and external inquiries related to pay.
- Manage payroll deductions, garnishments, benefits contributions, and adjustments.
- Prepare and reconcile payroll reports and assist with year-end processes including W-2s.
- Track paid time off (PTO), sick leave, and other time-off policies.
- Collaborate with Finance/Accounting to ensure proper GL coding and payroll journal entries.
Human Resources (Approx. 40%):
- Assist with new hire onboarding, including background checks, document collection, and orientation scheduling.
- Maintain accurate and up-to-date employee records in he HRIS system and personnel files.
- Assist in benefits administration, including enrollments, changes, and employee communications.
- Support HR team with employee relations matters, investigations, and documentation as needed.
- Assist with compliance tracking, such as I-9 verification, EEO reporting, and policy acknowledgments.
- Coordinate HR communications such as announcements, recognition, or policy updates.
- Participate in HR projects such as audits, handbook updates, and training initiatives.
Requirements Qualifications:
- Associate's or bachelor's degree in human resources, Business, Accounting, or a related field preferred.
- 3+ years of payroll processing experience; prior HR support experience strongly preferred.
- Strong knowledge of payroll practices and employment/labor laws.
- Experience with payroll and HR systems.
- High level of discretion and integrity when handling confidential information.
- Excellent organizational and communication skills.
- Detail-oriented with strong problem-solving abilities.
Preferred Certifications:
- FPC (Fundamental Payroll Certification) or CPP (Certified Payroll Professional)
- PHR or SHRM-CP (a plus, but not required)
