Job Description :

The Payroll Administrator is responsible for managing all aspects of payroll processing and personnel records in compliance with federal, state, and organizational regulations. This role ensures accurate and timely payroll execution, maintains employee data integrity, and supports HR operations with a focus on confidentiality, compliance, and customer service.

Essential Duties:

  • Process bi-weekly payroll for all employees, ensuring accuracy and compliance with applicable laws and internal policies.
  • Maintain and reconcile payroll records, including Paid Time Off (PTO), Extended Illness Bank (EIB), and payroll deductions.
  • Serve as the primary administrator for the Human Resource Management System (HRMS), ensuring accurate data entry and system integrity.
  • Conduct and document background checks, driving record verifications, and other pre-employment screenings.
  • Maintain compliance with the Texas Department of Family and Protective Services and other regulatory bodies.
  • Generate monthly, quarterly, and ad hoc reports for HR and leadership teams.
  • Files all quarterly and annual taxes as required by state and federal regulations.
  • Generates annual W.2 filing and reporting and dissemination.
  • Support internal and external audits by providing accurate and timely payroll and personnel data.
  • Assist with HR projects, process improvements, and organizational initiatives.
  • Provide guidance and training to HRMS users across the organization.

Requirements

  • High school Diploma or GED required.
  • Bachelor's degree in business administration, Human Resources, Accounting, or a related field preferred.
  • Minimum of 3 years of payroll administration experience required.
  • Multi-unit payroll experience in excess of 300 employees/contractors preferred.
  • Experience in a Human Resources Generalist role is a plus.
  • Strong knowledge of payroll systems, labor laws, and tax regulations.
  • Proficiency in Microsoft Office Suite (Excel, Word, Outlook, PowerPoint).
  • Exceptional attention to detail, time management, and organizational skills.
  • Ability to handle sensitive information with discretion and integrity.
  • Strong interpersonal and communication skills with a team-oriented mindset.
  • Must be at least 21 years of age.
  • Must possess a valid Texas driver's license.
  • Must be available for travel as needed.
