- Greet and register patients in a professional and courteous manner for pre-admission, direct admissions, transfers, and outpatient procedures.
- Accurately collect and enter demographic, insurance, and physician data into electronic systems (e.g., STAR, PHS, Cerner).
- Verify insurance eligibility and benefits, including co-pays, deductibles, and out-of-pocket limits using online portals and payer websites.
- Collect applicable payments at time of service and post transactions; reconcile and balance cash drawer at end of shift.
- Obtain required signatures for consent to treat and assignment of benefits.
- Explain pre-certification and insurance requirements to patients; assist in completing Medicare Secondary Payor (MSP) and Advance Beneficiary Notice (ABN) forms.
Insurance Verification & Pre-Certification Support
- Audit insurance eligibility via Relay Connect and other systems.
- Confirm network participation for incoming transfers and scheduled services.
- Contact insurance companies and physician offices to obtain or confirm pre-certification and authorization requirements.
- Enter authorization numbers and patient benefits accurately into systems to support timely claims processing.
Clerical & Coordination Duties
- Prepare ID bands, patient charts, and escort arrangements as needed.
- Respond to internal and external phone calls and faxes regarding patient registration updates or issues.
- Print and provide itemized bills, manage documentation, and assist in resolving claims or insurance mismatches.
- Refer patients with outstanding balances to Financial Counselors or Eligibility Specialists when appropriate.
QualificationsEducation & Experience:
- High school diploma or equivalent required; Associate degree preferred.
- One year of experience in a hospital or medical office environment preferred.
- Completion of a medical terminology course within the first year of employment.
- CHAA (Certified Healthcare Access Associate) certification strongly preferred.
Skills & Competencies:
- Strong attention to detail with the ability to handle sensitive information discreetly.
- Excellent communication and interpersonal skills to interact with patients, families, and healthcare staff.
- Proficiency in computer systems and databases (e.g., Cerner, RelayHealth, PHS, MCA Compliance Checker).
- Basic math and cash handling skills required.
- Ability to work in a fast-paced environment with multiple priorities and deadlines.
Working Conditions & Physical Demands
- Primarily office-based with potential exposure to patient care areas and biohazards.
- Must be flexible with shifts, including evenings, weekends, and holidays as needed.
- Requires physical stamina for walking, standing, bending, and lifting up to 15 lbs.
