Position: Patient Intake Coordinator
The Patient Intake Coordinator plays a vital role in ensuring smooth and efficient operations, taking on responsibilities such as precise data entry, inventory management, and communication with referral sources. This position requires appropriate use of technology to document patient information and coordinate services.
Key Responsibilities:
- Enter referrals accurately within designated timeframes to meet quality standards.
- Communicate with healthcare providers and associated staff to facilitate necessary documentation for patient service completion.
- Ensure the proper entry of referrals in the appropriate system based on the type of service requested.
- Collaborate with local leadership to ensure the availability of required inventory and services.
- For non-Medicaid patients, discuss financial responsibilities and collect payments, properly documenting all transactions.
- Adhere to company policies to determine and implement the appropriate delivery methods.
- Provide timely responses to incoming calls and assist callers effectively.
- Review medical records for compliance standards before services are rendered, ensuring all protocols are followed.
- Expertly navigate payer guidelines and analyze clinical documentation to verify qualification status for all equipment and services.
- Work with community referral sources to obtain timely and compliant documentation for a seamless referral process.
- Keep patients informed when documentation needs adjustments to align with payer guidelines and offer alternative options.
- Coordinate with the sales team to gather necessary documentation and support referral source relationships.
- Utilize multiple EMR systems to retrieve relevant documentation as needed.
- Collaborate with the verification team to ensure that all patient and payment information is accurate and comprehensive.
Skills and Qualifications:
- Strong interpersonal skills to interact effectively with patients and referral sources.
- Excellent decision-making and analytical skills with a keen attention to detail.
- Outstanding verbal and written communication abilities.
- Proficient in customer service and telephone interactions.
- Competent in computer operations and knowledgeable in Microsoft Office.
- Adept at prioritizing and managing multiple tasks efficiently.
- Quick learner with the technical aptitude to understand data management across systems.
Minimum Qualifications:
- High School Diploma or equivalent.
- At least one year of relevant experience in healthcare administration, financial services, insurance customer service, claims, or related fields.
- Experience in a Medicare certified HME, IV, or HH environment is highly valued.
