DescriptionPURPOSE OF THE JOB: We are seeking a personable and professional Patient Care Coordinator to ensure that dental patients' appointments are efficiently scheduled, rescheduled, or canceled based on their needs. This role is crucial in maintaining smooth operations within our practice. The Patient Care Coordinator will be responsible for entering patient information into our data system, addressing patient inquiries, arranging referrals to other dental specialists, and preparing billing statements.RESPONSIBILITIES: Greet and welcome patients to the practice, creating a warm and friendly atmosphere.Schedule, reschedule, or cancel appointments as required, ensuring optimal patient flow.Demonstrated expertise in dental insurance processes, including verification of benefits and eligibility.Proficient in submitting and tracking dental predeterminations and pre-authorizations.Skilled in reviewing and accurately posting Explanation of Benefits (EOBs) to patient accounts.Ability to identify and resolve discrepancies in insurance payments and claims.Strong understanding of dental coding, insurance terminology, and payer-specific requirements.Assist patients in filling out information forms accurately and efficiently.Prepare patients' charts and daily schedules for the dental staff, ensuring all necessary information is readily available.Update patient records and document recent treatments and procedures meticulously.Schedule follow-up appointments and provide telephonic reminders to ensure patient compliance.Communicate with dental insurance providers to determine if patients are required to make co-payments.Verify methods of payment and collect payments as needed, ensuring accurate financial transactions.Perform general office duties, such as answering telephones, photocopying, filing, and faxing, to support the smooth operation of the practice.RequirementsMINIMUM REQUIREMENTS: A high school diploma or GED is requiredDemonstrated experience working in a dental office environment is essential. This includes familiarity with the day-to-day operations and patient interactions within a dental practice.Proficiency in using dental practice management software, particularly Dentrix.This includes the ability to efficiently navigate and utilize the software for scheduling, billing, and patient record management.A solid understanding of dental terminology and procedures is necessary to effectively communicate with patients and dental professionals.A working knowledge of general administrative practices, including data entry, filing, and office management, is essential for maintaining an organized and efficient office environment.Excellent verbal and written communication skills are required to interact professionally with patients, insurance providers, and dental staff. Good telephone etiquette is also essential for managing patient inquiries and scheduling appointments.Exceptional organizational skills are necessary to manage multiple tasks, maintain accurate records, and ensure smooth office operations.Outstanding customer service skills are crucial for creating a positive patient experience, addressing patient concerns, and ensuring patient satisfaction.A keen eye for detail is important for accurately updating patient records, processing insurance claims, and managing financial transactions.Excellent time management skills with a proven ability to meet deadlines and handle multiple priorities in a fast-paced environment.NICE TO HAVES: Additional certification in office administration, medical administration, or related fields is highly advantageous and preferred.Familiarity with dental software and scheduling systems.
