About the Role: We are seeking a welcoming and detail-oriented Patient Care Associate Coordinator who will support our healthcare team in ensuring excellent patient experiences. This role involves following defined processes and collaborating with your team members to help achieve our organizational goals.

Schedule: This position requires a commitment to a 37.5-hour work week, with shifts scheduled between 8:00 AM and 8:00 PM, including one weekend day each week. Exact schedules will be provided upon hiring.

Key Responsibilities:

  • Welcome patients and their families with a warm smile.
  • Assist patients with registration and check-in procedures.
  • Accurately enter patient demographic and insurance details into our EHR system, Epic.
  • Verify insurance eligibility and educate patients about their benefits.
  • Handle co-payments and patient balance collections.
  • Effectively manage incoming calls, directing inquiries and taking messages as necessary.
  • Support clinical staff in coordinating patient follow-up care, including scheduling referrals and securing testing authorizations.
  • Send patient records to primary care providers accurately.
  • Keep patient information up-to-date and perform required insurance verifications on the day of service.
  • Confirm and schedule appointments efficiently.
  • Maintain compliance with HIPAA and OSHA requirements at all times.
  • Contribute to a cohesive team environment and prioritize tasks effectively.
  • Perform scanning and document management tasks with precision.
  • Be adaptable and willing to assist in cross-training efforts as needed.
  • Take on additional tasks as assigned.

Qualifications Required:

  • High School Diploma/GED (or higher).
  • 1+ years of experience in customer service or healthcare.
  • Intermediate computer skills, proficient in Microsoft Office applications.
  • Flexibility to travel between offices for coverage as needed.
  • Willingness to be cross-trained as a medical assistant, or current medical assistant certification.
  • Able to work a flexible schedule, including evenings and weekends.

Preferred Qualifications:

  • 1+ years of experience in a medical front office or urgent care setting.
  • Proficiency in using electronic health records (EPIC).
  • Familiarity with medical terminology and insurance processes.
  • Bilingual skills in Spanish and English are a plus.
