Job DescriptionGeneral Statement of Job: This position is the first line resource for all patients and visitors who present to the Health Care District Community Health Centers. This position will provide the fullscope of reception, scheduling and administrative support services including collection and completion of data entry for the purpose of registering, scheduling, and checkingpatients in/out for all medical and dental departments. Essential Functions: Greets and directs visitors/patients courteously and professionally. Develops and maintains a positive relationship with patients and visitors for the purpose of a positive experience in the Health Center. Documents, researches and responds to patients/visitor inquiries, complaints, concerns or grievances in a concise and professional manner and coordinates information to or with other departments; including but not limited to the Referrals, HIM, Revenue Cycle and Pharmacy. Obtains, verifies and/or updates patient demographic information into EHR and registers patients to meet established registration productivity and quality benchmarks. Successfully meets monthly competency and quality audits to ensure registration accuracy. Assist patients with completing registration in patient facing software as needed. Obtains all appropriate signatures for patient consents. Schedules patients for primary care and medical specialties in the EHR including rescheduling patient noshows. Verifies patients' insurance benefits including primary care provider for any managed care plans. Assists patients with any changes needed to coordinate care including contacting payer for change of primary care provider. Accurate verification of Pharmacy Benefits in EHR for coordination of in-house pharmacy. Ensures that all information is scanned into the patient account in the EHR in a timely manner including, but not limited to, proof of income, patient's photo ID and insurance card. Qualify patient for nominal fee/sliding fee scale according to according to Federal Poverty Guidelines. Collects co-pays, coinsurance, nominal fee/slide and balance due from patients and/or guarantors and posts collections to the appropriate department at time of service Checks patients out and schedules future appointments. Prints appropriate documentation and reviews with patient. Ability to communicate information in a clear, concise and timely manner while using appropriate verbal and written channels of communication. Demonstrate problem solving skills and the ability to recognize opportunities for improvement and take appropriate action when necessary. Communicates with patients via patient facing pre-visit, pre-registration platform in the format of text messaging and daily broadcasts to scheduled patients for the purpose of completing their pre-registration and confirming their appointments. Manually telephones patients prior to and immediately following scheduled appointments to prevent gaps in schedules. Assists with answering calls/chats process of incoming communication for urgent and routine information or services. Schedules appointments and records and forwards messages as required. Responds to requests for routine information or assistance within scope of knowledge and authority and refers patients/visitors to appropriate staff members as necessary. Reconciles cash/credit collections daily by department. Accurately completes end of day documentation according to established procedures. Accurate Daily Audit of Change Drawer according to established procedures. Ensures weekly audit by Senior Registration Specialist or Clinic Supervisor. Responsible for opening/closing center duties as needed. Maintains par levels of office supplies and works with Senior Registration Specialists and Clinic Supervisors for ordering and distributing supplies to designated areas. Maintains order and appearance of frontline including patient waiting areas Maintains printers and copy machines, ensuring all supplies are on hand, calls for repairs when required. Responsible for the management of incoming and outgoing departmental mail, sorting, distributing, and generating responses as appropriate and in a timely manner. Communicates with patients to update addresses for returned mail. Attends and participates in department huddles and staff meetings Adheres to and follows all departmental policies and procedures. Adheres to and Responds to All Emergency Codes as indicated by the department requirements. Prints patient facesheets for EMS when a Code Blue is called. Follows all infection control policies and procedures at all times. Maintains patient confidentiality at all times according to the established policies and procedures. Works on special projects and performs other duties as assigned. Emergency duty may be required of the incumbent that includes assisting community or hospital-based organizations or the Red Cross. Staff will be directed to perform other emergency duties based on clinical experience including, but not limited to, responses to threats or disasters, man-made or natural.
