As a Patient Access Coordinator, you will often serve as the first point of contact for our patients and their families. We value the role you play in making that essential first impression. Your diligent efforts in gathering complete and accurate insurance and demographic details empower us to provide high-quality, compassionate health services to all individuals, regardless of their financial capabilities.

This position is full time (40 hours/week, 7 days/week). Flexibility is required to work within our variable schedules, which may include days, evenings, and weekends, as we support our outpatient registration team and emergency department operations. There may also be occasional overtime based on business needs. Shifts can be scheduled between 6 AM - 12 AM at our office located at 50 Union Street, Ellsworth, ME.

We provide 4 - 6 weeks of robust paid on-the-job training, tailored to fit your schedule.

Key Responsibilities:

  • Welcome patients and visitors in person or over the phone, ensuring outstanding customer service.
  • Log and update patient demographic and financial information promptly, facilitating early registration in the care process.
  • Gather necessary applications and forms, ensuring all required signatures are documented. Photocopy and scan documents as necessary.
  • Communicate financial responsibilities to patients, collecting and documenting liabilities while balancing the cash box daily.
  • Collaborate with various departments (Financial Counseling, Scheduling, Financial Clearance, and clinical teams) to complete all components of the patient's care journey.
  • Guide patients with wayfinding instructions and provide any requested hospital information.
  • Coordinate patient admissions, bed assignments, and maintain tracking boards as needed.
  • Aim to meet or surpass audit accuracy standards, working through worklists and error reports in a proactive manner.
  • Ensure a safe environment in accordance with NLH policies; report and address any hazards or safety violations observed.
  • Perform additional duties as assigned.

Required Qualifications:

  • High School Diploma/GED or higher.
  • At least 6 months of experience in an office setting or customer service environment (both over the phone and face-to-face).
  • Intermediate proficiency with Windows applications.
  • Ability to work 40 hours per week in 8-hour shifts on any day of the week between 6:00 AM - 12:00 AM.
  • Willingness to work overtime as needed.
  • Must be 18 years of age or older.
  • Flu vaccination for the current flu season or willingness to receive it when available.

Preferred Qualifications:

  • Over 1 year of registration experience in a hospital or medical environment.
  • Familiarity with medical terminology.
  • Understanding of insurance policies and procedures as well as patient care settings.
