Part-Time Permanent Receptionist An ESS permanent clerical personnel provides administrative and other support to ensure the effective and efficient operation of the office or department and promotes a safe and orderly environment for students. Permanent clerical personnel are also known as secretaries, clerks, administrative assistants, and receptionists. Act as Receptionist at building entrance. Provide a presence at the front desk to greet visitors, answer phones, perform clerical work, and open/close the building. As a member of the IU operations team, the Front Desk Receptionist works closely with the Supervisor of Facilities Services to ensure the efficient operation of our building, programs, and events. Responsibilities Arrive and be in place by scheduled time. Remains available at the front desk during shift. Operate electronic phone system. Answer & direct all incoming calls. Able to communicate information concerning IU programs, services & staff to the public in a professional manner. Review room setups for the day & communicate any changes or discrepancies to day shift maintenance technician. Greet & direct all visitors entering the building. Sign in and badge visitors and vendors as needed. Process incoming mail and prepare outgoing mail for daily pick up by Bucks IU courier service. Works with other IU personnel to ensure the safety and welfare of all students, staff, and visitors, by ensuring all safety practices are upheld. Assist in the booking of conference rooms for internal and external user groups. Maintain all equipment and resources located at the front desk. Model professionalism and nondiscriminatory practices in an educational environment, supporting the philosophy, policies, and goals of the Bucks IU. Communicate effectively in oral and written form, maintaining clear and organized files and records. Develop a positive rapport with students, parents, teachers, staff, alumni, and vendors. The employee may be required to stand for long periods, and to climb or balance and stoop, kneel, crouch, or crawl. The employee must frequently lift and/or move up to 10 pounds and occasionally lift and/or move up to 40 pounds. Specific vision abilities required by this job include close vision, distance vision, color vision, peripheral vision, depth perception and ability to adjust focus. Position Type/Expected Hours of Work: This is a part-time position on an as-needed basis. Hours are dependent on the needs of the Bucks IU. Hours may be scheduled during the early morning, evening and/or weekends as needed. QualificationsEducation and Experience: High School Diploma or equivalent preferred; OR at least 3 years related experience in administrative or receptionist roles; OR equivalent combination of education and experience. Knowledge, Skills, and Abilities: Proficiency in utilizing technology. Excellent organizational and interpersonal communication skills. Excellent verbal and written communication skills. Ability to interact with individuals at all levels of the organization. Composure under stressful situations. CPR Certification and Blood Borne Pathogen Training is preferred. Work Authorization/Security Clearance (if applicable): Citizenship or work authorization to work in the United States required.
