For further information, visit www.raritanval.edu. Job Description: Raritan Valley Community College is currently seeking a Project Assistant to work in our Grants department on a part-time basis. Essential Duties: Assist with all grant related documentation (ex. Grants Manual maintenance and updates) and grant systems. Schedule meetings with grant managers, deans, chairs, faculty, or administrators as needed. Email and meeting schedule follow up with faculty on all items budgeted to obtain current quotes for the ordering process. Contact and work with purchasing, finance, faculty and vendors for items/services needed. Code quotes with grant budget line number and BANNER (Ellucian) codes to process orders. Process purchase requisitions in BANNER (Ellucian). Request and follow up on approvals of requisitions and keep electronic file of purchase orders. Follow up with faculty on purchase orders to ensure vendor receives the order, items are received, and invoices are processed in a timely manner. Process invoices with AP coding vouchers, check requests, and forms related to payments of grant approved expenses. Assist with managing all grant files. Organize and maintain files of information (using MS Teams, SharePoint, or a similar platform) of both a routine and confidential nature. Keep an up-to-date audit ready (electronic folder) grant binder with records such as grant applications and award documents, etc. for pre-award documentation as well as contracts, quotes, purchase orders, payment vouchers, check requests, etc. for post-award documentation. Assist with grant monitoring and audits as needed. Maintain EXCEL spreadsheets of grant expenses monthly or quarterly - based on grant requirements and internal reconciliation procedure. Use BANNER (Ellucian) and Argos payroll information to update spreadsheets. Attend consistent scheduled meetings with Finance to reconcile expenditures and review any discrepancies. Type and proofread reports, correspondence, forms, etc. Utilize computer to maintain records including Outlook, Microsoft programs, and BANNER inquiries and processes. Collect and file part-time grants staff time and effort reports (where necessary). Print rosters for each class from Argos for grants. List and keep track of faculty/staff receiving grant funds and students that are receiving grant scholarships as needed for specific grants. Assist with grantor electronic systems (EWEG, SAGE, etc.) for applications and post award reports as needed. Other grant related or Grants Department activities as needed. Grant Funded Projects: Perkins and others grants as developed. Non-grant Funded Projects: Gibson funding and Grants Department assistance. Requirements: Associate's degree required or equivalent education and experience. Strong organization and interpersonal networking skills with experience in working with a diverse group of people such as faculty, administrators, teachers, and students. Strong grammar and writing abilities required. Computer literacy skills at an intermediate level in Microsoft Office Outlook, Word, Excel, and PowerPoint as well as specialized software programs and computer applications. Preferred Qualifications: At least 2 years' experience in a school setting. Experience with grants or project management.
