- Experience in legal or administrative roles preferred
- Familiarity with legal procedures and terminology
Job Duties:
- Perform a key support role, assisting and supporting attorneys by organizing administrative activities and directing information flow in the office.
- Help establish work procedures or schedules and assist in monitoring the daily work of clerical staff.
- Maintain office filing systems and assist attorneys with case file organization.
- Provide training and orientation to new staff on administrative and legal support responsibilities.
- Learn and become proficient with NYMatters database for retrieving information and generating reports.
- Assist with data-keeping, opening and closing files, and managing paper and electronic filing systems.
- Communicate with attorneys, stenographers, and client agencies regarding scheduling and administrative arrangements.
- Maintain scheduling and event calendars, assist attorneys in managing deadlines and commitments.
- Assist with travel arrangements and create/submit travel expense reports.
- Order and distribute supplies.
- Perform various clerical duties such as answering phones, greeting visitors, operating office equipment, managing mail, producing correspondence, and filing.
- Learn and apply legal concepts, assist in the production of legal documents, and perform e-filing, physical filing, and document serving.
- Proofread legal documents for accuracy and completeness.
Preferred Skills:
- Proficiency in Microsoft Word, Excel, and Outlook
- Ability to learn and use NYMatters and other internal programs/software
- Strong written and verbal communication skills
- Organizational and time management skills
- Attention to detail and accuracy
Misc. Information:
- On-site position with hours from 8:30 am to 5:00 pm, Monday to Friday (one-hour unpaid lunch break).
- Free public parking available nearby; paid parking options provided.
- No useful public transportation in the area, showing up and dependability are the key due to limited transportation options.
- Interviews preferably conducted in-person, but virtual interviews can be accommodated.
