Position Summary

We are seeking a highly organized Operations Coordinator to optimize our field operations and ensure seamless project execution. This role serves as the central hub between field technicians, management, and customers, coordinating schedules, resources, and communications to maximize efficiency and customer satisfaction.

Key Responsibilities

Scheduling & Resource Management

  • Coordinate daily schedules for field technicians and service vehicles
  • Optimize routing and resource allocation based on project requirements and technician expertise
  • Manage equipment assignments and ensure proper calibration tracking
  • Schedule preventive maintenance for company vehicles and testing equipment
  • Coordinate with customers to confirm appointments and site access requirements

Project Coordination

  • Oversee project setup from initial scheduling through completion
  • Ensure all necessary equipment, materials, and documentation are prepared for each job
  • Track project timelines and proactively address potential delays
  • Coordinate between multiple departments (sales, technical services, administration)
  • Maintain project status updates and communicate progress to stakeholders

Communication & Customer Service

  • Serve as primary point of contact for scheduling and operational inquiries
  • Coordinate emergency service calls and dispatch appropriate technicians
  • Handle customer communications regarding project updates, delays, or changes
  • Maintain professional relationships with building managers, chief engineers, and facility directors
  • Process and route customer feedback and service requests

Administrative Support

  • Maintain accurate records in company systems (HubSpot, TEGG software, scheduling platforms)
  • Process work orders, invoices, and project documentation
  • Coordinate with accounting for billing and payment processing
  • Support inventory management and procurement processes
  • Prepare operational reports and performance metrics

Quality Assurance

  • Ensure compliance with safety protocols and industry standards
  • Monitor service quality and customer satisfaction
  • Coordinate follow-up calls and service reviews
  • Support continuous improvement initiatives
  • Maintain documentation for warranty and service history
Work Environment

This is primarily an office-based position with occasional field visits. Standard business hours with flexibility for emergency coordination. Some evening or weekend availability may be required to support 24/7 emergency services.
