Operations Coordinator Location: On-site across all clinic locations. As we integrate the practice into the Annie family, we're looking for a Practice Operations Coordinator to help support our growing team and elevate operational efficiency across our clinics. Role Overview The Operations Coordinator serves as an operational leader who ensures the smooth day-to-day execution of clinic workflows-so Clinic Managers can focus on sales, performance, and strategic growth. This person will play a key role in the successful integration of the practice into the Annie platform, acting as a liaison between field teams and HQ support functions. Fluent or conversational Mandarin-speaking candidates are highly preferred. Key Responsibilities - Day-to-Day Operational Excellence o Oversee device maintenance, cash handling, daily deposits, and facility upkeep o Own HRIS-based onboarding and offboarding of employees o Maintain accurate inventory processes and supply chain ordering o Ensure OSHA/HIPAA compliance and required documentation are up-to-date o Manage clinic readiness, cleanliness, and client room preparation o Coordinate with vendors for service, repairs, and supply deliveries - Build a Strong, Performance-Oriented Culture o Track and ensure completion of operational SOPs and checklists o Set clear expectations for operations and foster a culture of accountability o Identify inefficiencies or bottlenecks in workflows and recommend solutions o Support a team culture grounded in consistency, trust, and ownership - Technology & Systems Leadership (Zenoti) o Maintain accuracy and completeness in Zenoti system for appointments, staff data, and client records o Support Clinic Managers and staff in using Zenoti efficiently o Troubleshoot or escalate Zenoti issues with good judgment and timeliness - Customer Service & Growth Mindset o Ensure a world-class guest experience that results in >4.75-star average ratings across platforms o Support dispute resolution processes professionally and promptly o Encourage referrals and drive loyalty through operational readiness and service consistency What We're Looking For Core Competencies - Organization & Planning: Ability to prioritize, schedule, and execute operational tasks efficiently - Proactivity: Takes initiative without being prompted; solves problems independently - Persistence: Follows through, even when challenges arise - Analytical Thinking: Understands data, systems, and can make sound operational decisions - Creativity: Thinks of innovative ways to support staff and streamline backend processes - Communication: Communicates clearly in writing and speech, including in Mandarin if applicable Preferred Qualifications - Experience in multi-unit operations, medical aesthetics, or retail leadership - Mandarin-speaking preferred (conversational or fluent) - Ability to travel between clinic locations as needed - Bachelor's degree required Compensation - $65,000-75,000 based on YOE - Competitive compensation including salary & bonus. - Flexible paid time off - Health reimbursement plan - 401K plan
