Position Summary:
The Operations Administrative Specialist 1 provides both operations and administrative support to the Business Operations Team as well as for our client s Senior Leadership. This role is vital for the smooth running of our business. Duties include processing patient orders, customer service, fielding telephone calls, receiving and directing visitors in person or virtual, word processing, creating spreadsheets and reports, presentations, and filing. Additionally, the Operations Admin will be responsible for specific projects and tasks as designated by the Director of Operations. This position is 100% in person with very limited, but occasional evening/weekends required.
Duties and Responsibilities:
Data entry (Entering Patient Orders, CRM Inputs, Creating Lab Requisitions, scheduling appointments etc.)
Providing administration support to Senior Management
Coordinate patients with tracking for orders, follow-up appointments, and new patient scheduling.
Maintaining order tracking
Processing customer credit cards
Creating orders for patients within vendor pharmacy online portals
Maintaining customer data in all company systems
Answering incoming calls; taking messages and re-directing calls as required
Answering email inquiries
Knowledge, Skills, and Abilities:
Extensive software skills, internet research abilities and strong communication and organization skills are required.
Candidates will need to have excellent communication (both written & verbal), organizational abilities and time management skills to liaison with internal and external stakeholders,
Knowledge of pharmacy software and creation of medication orders preferred.
Experience with Salesforce, QuickBooks, SOAP Notes preferred.
High critical thinking skills
Candidates are expected to have an exemplary work ethic, be well-presented in a physical and virtual work environment and maintain a high sense of professionalism at all times.
Willing to travel < 5% of time to industry conventions and events throughout the United States

Experience and Education
Associate degree or equivalent experience in Business, Communications and/or Medical Administration.
Strong working knowledge of Microsoft Word, Outlook, PowerPoint and Excel.
