The purpose of the Office Specialist is to assist the Administrative Services Coordinator in providing general assistance and support to assigned recreation programs, activities, and facilities; sets up and issues equipment for recreational activities; assists in on-site supervision of programs and events; and performs a wide variety of general and routine administrative and custodial tasks. Essential Duties
- Assist with operations such as:
- Opening and closing register
- Processing accounts receivable and payable
- Issue citations for violations, send notice letters, attend intake court, and record payments
- Documenting overages/shortages
- Collecting fees for program services or commodities
- Create, update, and monitor social media and park website for current content and marketing purposes
- Assist with administration and implementation of ATV and snowmobile grants.
- Act as a frontline staff at the front desk and performs tasks such as:
- Answering phones
- Checking in guests and reserving facilities, taking registrations or reservations for facility use, processing payments, and depositing funds.
- Guide and counsel facility patrons/program participants on park/facility/program rules, care of equipment and acceptable conduct in a helpful, positive manner; assists patrons/program participants in providing information, direction, and education; responds to complaints, inquiries, and information requests.
- Write reports including completes daily reports, facility attendance and membership/rental forms.
- Coordinate with the Education Coordinator for recreation program development; working with school districts, or other outside agencies/business.
- Assist in maintaining grounds (both indoor and outdoor), parking areas, trails, and other adjacent areas.
- Perform custodial functions including, cleaning buildings, restroom facilities, and public play areas/fields, etc.
- Utilize the appropriate equipment to harvest aquatic weeds.
- Assist in site operations, opening and closing facility as assigned.
- Assist with public relations duties such as preparing and distributing flyers, press releases, and brochures.
- Assist in preparing firewood.
- Assist with parking enforcement by verifying that each vehicle has the proper pass.
- And other duties as assigned.
Minimum Training and Education Required: High School Diploma. Associate's degree in Natural Resources, Recreation, Management or other related field. Proficient knowledge of Microsoft programs: Word, Excel, PowerPoint, Publisher; and moderate proficiency in instant messaging, electronic calendars and social networking. Two years of clerical or technical experience in public contact work, which relates to ordinance enforcement, grant implementation/tracking as well as general staff support for accounting and computer support. Licenses/Certifications: Become Wisconsin ATV/UTV Safety Certified within 2 weeks of start date Become Wisconsin Boat Safety Certified within 2 weeks of start date Preferred: Previous public sector experience Previous customer service experience Any combination of education and experience that provides equivalent knowledge, skills and abilities may be considered.
