We have a great opportunity for an experienced Office Specialist who thrives in a fast-paced environment! Our Community Connections Division is housed in the heart of downtown St. Petersburg, and we are seeking an experienced Office Specialist to provide clerical support and stellar customer service with greeting customers in person, answering phones, and providing information about our programs and other resources within the County. A high degree of public contact is exercised, requiring professionalism, tact and poise. This position requires an ability to relate professionally to a wide range of diverse residents applying for public assistance. Our ideal candidate will be familiar with basic office duties such as signing in clients; answering and transferring calls; making copies; processing mail; completing data entry; etc. Additionally, the person in this role must be able to evaluate situations and inquiries to provide the most useful and appropriate information; explain in general terms the procedures and functions of the various County and other governmental agencies; and help and assist others to take appropriate action or make proper referrals based upon this knowledge. This is a full-time office-based position located at 647 1st Ave N, St. Petersburg, FL 33701 with work hours Monday - Friday 8 a.m. - 5 p.m. What Will You Do?
  • Greet walk in clients and visitors and assess how best to address their needs, including providing resources, assisting with program applications, and signing in clients to see a case manager.
  • Complete data entry into various systems.
  • Answer calls from clients and the general public, assessing needs and providing appropriate information and resources.
  • Open and close the building each day.
  • Monitor the lobby throughout the day to engage clients, provide resources, and assist with online applications as needed.
  • Process mail and manage electronic inboxes.
  • Make copies, scan documents, create and send letters.
  • Post and maintain brochures and information in the lobby area.
  • Perform other related job duties as assigned.
What Do You Need?Experience: Office support experience dealing with administrative matters, customer accounts, and service problems, general clerical and experience in the use of computers and general office equipment.
  • 2 years of experience as described above; or
  • Associate's degree, trade school, or vocation training degree, diploma, or certification that includes experience as described above; or
  • Bachelor's or higher-level degree that includes experience as described above.
  • An equivalent combination of education, training, and/or experience. Assignment to work a variety of work schedules including compulsory work periods in special, emergency, and/or disaster situations.
Highly Desirable
  • Knowledge of services offered by the County and other local community services agencies.
  • Fluent in any languages other than English, particularly Spanish.
