Job Title: Office Services AssociateLocation: Richmond, VA Shift: 8:00am - 5:00pm; Monday - Friday Pay Rate: $22.00 - $23.00/hr Position Summary: The Office Services Associate plays a vital role in maintaining the functionality, appearance, and efficiency of the office environment. This is a dynamic, hands-on role best suited for a proactive individual with strong organizational skills, a high level of comfort with technology, and experience in a corporate office setting. The ideal candidate will be versatile, physically capable, and detail-oriented, with a strong commitment to delivering outstanding client service. Key Responsibilities:Facilities & Office Operations
  • Support daily facility needs including general upkeep, workspace setup, and basic handyman tasks (e.g., hanging whiteboards, artwork, or signage).
  • Assist with internal office moves, space planning, and reconfigurations as needed.
  • Assemble and move office furniture; lift and transport items up to 25 lbs regularly (and occasionally up to 100 lbs with assistance).
  • Set up catering and food & beverage stations for meetings and events.
  • Conduct routine walk-throughs of the office to ensure cleanliness, organization, and readiness.
  • Coordinate and support light renovation and improvement projects in collaboration with internal teams and external vendors.
Mailroom & Administrative Support
  • Perform daily mail runs and manage incoming/outgoing packages.
  • Process invoices and track purchasing related to office supplies and facilities work.
  • Handle shredding, file disposal, and other document management tasks.
  • Maintain and order office and kitchen inventory; ensure supplies are fully stocked and organized.
  • Ensure shared spaces such as meeting rooms, break areas, and supply rooms are orderly and well-maintained.
Technology & Communication
  • Use Microsoft Office Suite and other internal systems proficiently to communicate, manage tasks, and process tickets.
  • Monitor and respond to service requests via a high-volume email inbox and ticketing system in a timely and professional manner.
  • Maintain digital logs and documentation related to facilities requests, vendor visits, and project updates.
Client & Guest Experience
  • Deliver white-glove service to internal stakeholders and visiting guests, providing high-touch support beyond standard reception duties.
  • Serve as a visible presence throughout the office, engaging with teams to identify needs and proactively resolve issues.
  • Assist with hosting client visits, setting up meeting rooms, and providing general guest support to ensure a positive experience.
Required Qualifications:
  • 1-3 years of experience in a corporate office environment, facilities, or workplace services role.
  • Proficient in Microsoft Office products (Outlook, Excel, Word, Teams) and comfortable navigating internal systems and tools.
  • Strong organizational and multitasking skills with high attention to detail.
  • Excellent communication and interpersonal skills with a service-first mindset.
  • Ability to lift and move objects up to 25 lbs regularly and assist with heavier items as needed.
  • Comfortable on your feet-this is not a sit-down role; the position involves walking the office space and being physically active throughout the day.
Preferred Qualifications:
  • Experience with corporate facilities, workplace coordination, or operations support.
  • Familiarity with ticketing systems and high-volume communication management.
  • A strong sense of initiative and a proactive approach to problem-solving.
