GRADE 7 LOCATION OF POSITIONPrince George's County 4990 Rhode Island Ave Hyattsville, Maryland 20781 POSITION DUTIES The main purpose of this position is to provide secretarial services to an operational/specialized field unit of the Division of Parole and Probation.
- Uses computer and spreadsheet software and peripheral equipment to produce correspondence, reports, tables, etc., from rough drafts or corrected copies and edit grammar, punctuation, and spelling. Distributes finalized copies, sometimes without prior supervisory review.
- Answer phones, screen calls, take messages for agents and supervisors, schedule appointments, answer general questions regarding state employment and job openings, and determine the degree of information allowed in relation to the confidentiality laws of the state.
- Inputs accurate and complete data in informational systems in order to update supervised individuals' records.
- Assembles and completes a variety of reports, posts information to records and logs and maintains established files in a variety of formats including electronic files and databases.
MINIMUM QUALIFICATIONS Education: Completion of the eighth grade. Experience: One year of experience typing correspondence, reports, charts or other documents from rough draft, corrected copy or oral instruction on a keyboard of a personal computer, computer terminal or word processor. Notes: 1. Candidates may substitute additional experience typing or performing other clerical duties on a year-for-year basis for the required education. 2. Candidates may substitute graduation from an accredited high school or possession of a high school equivalency certificate for six months of the required experience. 3. Candidates may substitute five courses or six months of clerical training in subjects such as keyboarding, clerical math, word processing, spreadsheets, data base, graphics presentation, proofreading, or office etiquette for six months of the required experience. 4. Candidates may substitute U.S. Armed Forces military service experience as a non-commissioned officer in Administration classifications or Administrative, Clerical or Office Services specialty codes in the Administrative Support field of work on a year-for year basis for the required experience. DESIRED OR PREFERRED QUALIFICATIONS Professional experience maintaining files and reports. Professional experience providing customer service. SPECIAL REQUIREMENTS Demonstrated ability to accurately type on a keyboard of a personal computer, computer terminal or word processor at a minimum of forty words per minute may be required, depending on the specific requirements of the position.
