Position Title: Office Manager Position Description: We are seeking a highly organized, detail-oriented, and energetic professional to manage core administrative functions for our camp and group business operations. This role will support camper registration, staffing coordination, payroll processing, group scheduling, and communication. The ideal candidate thrives in a fast-paced environment, is comfortable managing multiple priorities, and can balance professionalism with a welcoming, service-focused approach. This is a year-round, full-time position with the ability to live on-site in Stroudsburg, PA during the camp season (May-early September), with shared housing and meals provided. During the off-season (October-April), availability is needed to work from the winter office in Gibbstown, NJ. Key Responsibilities:Camp Minder & Registration
- Manage camper and group registrations through CampMinder.
- Monitor and follow up on incomplete applications, missing information, and outstanding payments.
- Serve as one of the first lines of communication for parents, ensuring timely and accurate responses to inquiries.
- Answer incoming phone calls from clients and prospective families.
Staffing & Scheduling
- Support recruitment, onboarding, and scheduling of seasonal and year-round staff.
- Create and maintain staffing schedules (currently in Excel, with potential transition to UKG for scheduling and timecard management).
- Work closely with department heads to adjust staffing based on program needs.
Communication
- Draft and send email updates to staff, families, and group leaders.
- Maintain consistent, professional communication with all stakeholders.
Human Resources & Administrative
- Process payroll and maintain accurate employee records.
- Ensure compliance with camp policies, procedures, and employment regulations.
- Assist in developing and updating internal policies and procedures.
Group Business – Operations
- Assist in scheduling and coordinating group bookings.
- Assist in wristband distribution and maintain accurate inventory.
- Assist in pre-arrival and on-site group communications.
Qualifications
- Strong organizational and time-management skills.
- Proficiency in CampMinder, Microsoft Office, and general office software.
- Excellent written and verbal communication skills.
- Experience in staffing coordination, registration systems, or hospitality operations preferred.
- Ability to live on-site in Stroudsburg, PA during the camp season (May–early September); shared housing and meals provided.
- Availability to work from the Gibbstown, NJ office during the off-season (October–April).
