Overview TransitAmerica Services, Inc., is currently seeking an Office Manager in Oakland, CA to join our team. The pay range for this position is $70,000 - $85,000 annually. Duties and Responsibilities: *This is a non-exhaustive overview of the job duties for this position.
- Compiles, reviews, keys, and updates data using database and excel spreadsheets.
- Maintains and audits information to generate accurate reporting for daily, weekly & monthly reports.
- Perform a variety of routine clerical duties such as typing, scanning, sending emails, copying data, record keeping, preparing correspondence, filing, preparing reports using a computer, and operating office machines.
- Lead and manage the onboarding process for new hires including third party protocols for site access and annual recurring requirements for all employees.
- Lead and manage ongoing LMS and third-party training requirements for all employees.
- Assist with employee separation process.
- Monitor mileage, maintenance, GPS and upkeep of all company vehicles in coordination with designated corporate representatives.
- Assist the Accounting department team with all duties as assigned including contacting vendors.
- Must be proficient on the computer, with Microsoft Outlook, Word, & Excel, and scheduling and maintaining calendars.
- Responsible for coordinating maintenance of office equipment, including computers, Wi-Fi, copy machines and fax machines, at all designated office spaces.
- Able to research, set up and maintain ordering supplies, uniforms parts and scheduling vendors.
- Answer incoming calls and take messages and respond to company questions and requests for information.
- Experience providing a high level of administrative support to ensure efficient and effective day-to-day operation of the department.
- Provides administrative support to General Manager and Management staff.
- Act as point-of-contact for internal and external clients.
- Collection, sorting, and distribution of mail pieces.
- Maintain organized supply closets, noting inventory levels and replenishing supply as needed. Also maintain kitchenette supplies and appliances in all designated locations.
- Regular and consistent engagement, participation and promotion of Herzog's Culture and its essential behaviors are a requirement for this position.
- Regular and predictable attendance and punctuality are a requirement for this position.
- Other duties as assigned.
Qualifications:
- High School diploma or equivalent.
- 3 years of administrative and clerical experience.
- Proficiency in MS Office products with expertise in Outlook, Word, PowerPoint, and Excel.
- Must understand basic mathematics.
- Must possess good communication skills (verbal and written).
- Required to make logical choices and/or drawing logical conclusions.
- Must be able to multitask.
Pre-Employment Requirements:
- Subject to pre-employment background check and motor vehicle report review.
- Maintain a valid driver's license and endorsements as required per position.
- Subject to pre-employment physical, medical evaluation, and drug screen.
- Successfully complete and maintain any required safety certification and testing on an annual basis.
