University of North Florida (Army ROTC) Department of Military Science Office Manager

The primary purpose of this position is to serve as the University of North Florida (Army ROTC) Department of Military Science Office Manager and liaison with the University of North Florida and other crosstown institutions.

Job Function
  • Serve as the project manager for the Military Science Department to include but not limited to: campus outreach and planning for all Military Science events, modernizations, updates, and maintenance to Military Science facilities, and serving as the primary department resource office manager.
  • Manage the processes of the Military Science foundation and operational budgets.
  • Serve as the primary liaison between Military Science and all other departments to assist with Military Science student record compliance and updates as needed, enrollment support with admissions and other departments, coordination with university staff for Military Science support of events and activities.
  • Ensure the Military Science digital footprint stays up to date to include but not limited to: updating Military Science website, pushing Military Science articles and stories to university for distribution, scheduling university public affairs support as needed for events, Cadre/Staff photos, manage official social media pages, etc.
  • Manage the Department of Military Science Chair's calendar appointment scheduling for prospective students, university personnel, and other meetings or events that require department chair attendance
  • Attend weekly Military Science staff meetings for reporting on budget status, event status (as needed), university reporting (as needed), etc.
  • Attend weekly Military Science Cadet meetings for coordination and support as needed
Marginal Functions
  • Coordinate events for all on-campus Military Science to include event planning, facilities coordination, guest list management/invitations, and resourcing of additional items needed to support any Military Science event or ceremony (ex. Catering, security, budget request, etc.). This will include attending events (as required) that may be outside of traditional work hours (weekend, evenings, etc.).
  • Ensure the Department of Military Science stays in compliance with necessary university reporting in accordance with applicable policy and regulation.
  • Complete in and out processing for Military Science Cadre and Staff for university identification cards and other requirements as needed by the University of North Florida
  • Per semester: manage Military Science class/lab schedules and modifications as necessary (to include summer Military Science classes), reporting and coordination university registrar for Military Science students (scholarship processing or payment issues, credit overload waivers, account holds/payment issues, etc.), procurement of Military Science student transcripts at the end of every semester
  • Depending on various events, the work schedule may be altered to arrive early or leave later as needed.
Department Requirements
  • Strong organizational abilities and knowledge of customer service strategies. Ability to plan, organize, and coordinate work assignments
  • Effective oral and written communication skills; high degree of professionalism. Ability to handle telephone calls and visitors courteously and effectively.
  • Knowledge of office procedures and practices. Understanding of office procedures, UNF policies, regulations, manuals, and practices is preferred, but not required
  • Ability to perform data entry, sorting, and filing; Ability to compile and analyze data for administrative decisions.
  • Ability to maintain effective communication with co-workers and the general public and to resolve office operation needs and maintain effective working relationships.
  • Knowledge of business formats, event coordination, office equipment operation, supervision, budget knowledge, language skills, and ROTC support.

This position will receive direction and supervision from the Department of Military Science Chair

Required Qualifications: High school diploma and four years of experience directly related to the job functions. Directly related college coursework or vocational/technical training may substitute at an equivalent rate for the required experience.
