About the role As an Office Manager for our NY office, you will ensure the smooth operation of our office environment, supporting both the administrative functions and operational efficiency of the office. In this role, you will work closely with global and local finance and HR functions, as well as local Immunai management and employees. Location: New York City, NY (on-site, 5 days a week) What will you do?
  • Oversee day-to-day operations of the office, ensuring smooth workflow and efficient use of resources
  • Monitor and manage office supplies, equipment, and facility-related services
  • First responder to triage any on-site office issues that arise e.g. alarms, power outage, etc.
  • Coordinate with building management for any structural or facility-related issues
  • Oversee employee access to the building, manage security passes, and maintain visitor logs
  • Develop and manage the office operations budget, regularly report on spending to senior management
  • Coordinate shipping in and out of the office
  • Organize logistics around meetings/events/interviews, visitors
  • Resource hub management of conference room schedules, hybrid staff desk booking, coordination of visitors and visiting staff members access to the office
  • Engagement with leadership on space planning strategy and execution
  • Work in collaboration with other offices to ensure consistency over the different locations
  • Maintain a professional and positive work environment
  • Organize office events and celebrations to foster a positive work culture, coordinated with HR
  • Organize and support local off-site activities
  • Support HR with onboarding and offboarding of employees, helping to strengthen employee culture.
  • Support executive meeting needs and CEO when onsite as needed
  • Other duties as assigned
Requirements Required qualifications
  • 3+ years of experience in office management, ideally in a high-tech or scientific environment, in a site size of at least 50+ people
  • Excellent organizational skills
  • Exceptional interpersonal skills
  • Relevant academic qualifications - preferred

Compensation: This position offers a base salary typically between $85,000 - $95,000.
