Join National Dentex! - a leading healthcare organization specializing in the dental industry. We offer a full spectrum of specialized products, services, and technologies to address any dental restoration need. Currently, we have 50 labs throughout the country. Our team is growing, and we are seeking to fill a number of key positions within our organization including this opportunity at NDX Albensi Dental Lab in Irwin, PA for a Full-Time, Office Manager. The regular hours for this position are from 8:00am to 4:30pm, Monday through Friday, and subject to change from time to time. Primary Responsibilities and Essential Functions of the Position:

  • Assist the General Manager with management of the lab, including preparation of reports related to sales, labor, productivity, material usage and budget performance.
  • Consult with General Manager to devise action plans to achieve desired financial results.
  • Follow up with accounts past due to insure timely collection of monies due and that commitments are adhered to as well as manager the timely posting of cash to accounts and reconciliation process.
  • On-site IT contact and liaison for lab and IT Department
  • Quality Management Representative for all FDA responsibilities.
  • Responsible for OSHA compliance within Dental Lab and managing safety committee on a monthly basis.
  • Assist with HR related items such as hiring/onboarding orientation, benefits and other team member needs as they arise.
  • Perform Procurement Activities:
  • Monitors and maintains inventory levels by generating and placing Purchase Orders in Oracle to ensure necessary quantities are available; ordering the materials through the Vendor. Orders non-inventory items as requested as well.
  • Tracks all orders and verifies accuracy of shipment and pricing against purchase order upon receipt.
  • Processes, approves and codes invoices accordingly for payment; and follows established procedures to process and document returns.
  • All other duties as assigned.
Skills and Abilities Required:
  • Strong leadership qualities
  • Must be able to read, write, speak and understand English
  • Ability to effectively present information to team members and management team
  • Ability to read, analyze, and interpret financial reports, and legal documents.
  • Ability to define problems, collect data, establish facts, and draw valid conclusions.
  • Ability to respond to common inquiries or complaints from team members, customers, regulatory agencies, or members of the business community.
  • Ability to calculate figures and amounts such as discounts, interest, proportions, percentages, as well as the ability to apply concepts of general business math.
  • Intermediate skill sets in Microsoft Office products
  • Accuracy and attention to detail is imperative
  • Must maintain organization to successfully and timely complete the variety of tasks associated with this position.
Minimum Education and Experience Required:
  • High School diploma or equivalent
  • Preferred: Associate or Bachelor Degree in Business, Accounting or other related field.
  • Minimum 3 years related experience, or equivalent combination of education and experience.
  • Dental office experience preferred.
  • Strong leadership skills
  • 1-2 years direct experience in general accounting (preferred)
Hazardous Materials or Equipment Used:
  • Office Equipment (Computer, Copier, Paper Cutter, etc.)
Physical Requirements:
  • Regularly required to sit, stand, walk, bend, kneel and/or reach
  • Ability to read and comprehend written communications
  • Vision capabilities: Depth perception, attention to detail
  • Push, pull, lift, and/or carry up to 25 pounds
  • Ability to effectively communicate information.
