We are seeking a highly effective Office Manager in our New York City (HQ) . This role requires a highly organized individual with strong attention to detail, sense of urgency and ability to multitask. Must be proactive and thrive in a demanding, fast-paced and constantly changing environment.

The Opportunity:

Facilities & Office Management

  • Manage office staff by providing direction to and developing growth of employee.
  • Perform daily office walk-thru s and update task list daily.
  • Work with building management on repairs and general facility-related issues.
  • Participate in construction projects and related moves.
  • Act as the liaison between internal departments such as Senior Leadership, DOJO s and technology team.
  • Maintain a positive business relationship with building management and follow up regarding any unresolved problems.
  • Ensure adequate Reception coverage, providing back-up support as needed.
  • Partner with Talent Engagement team and Event Coordinator to assist internal events .
  • Participate in special departmental projects.

Vendor & Inventory Management/Finance/Budget

  • Maintain appropriate inventory levels for office supplies.
  • Monitor utilization and ensure that spending is within budget.
  • Assist Treasurer with reconcile orders placed on Amex purchase cards against receipts.
  • Review invoices to ensure contract compliance and completion of work prior to submission to CEO/AOF for signature.

Emergency Management, Health & Safety

  • Take the lead on Emergency Preparedness, Business Continuity Planning and Disaster Recovery
  • Ensure that fire wardens and medical team are in place and training is up to date.
  • Participate in building drills.
  • Assess equipment monthly (first aid kits, AED)

What you bring:

  • Bachelor's degree preferred
  • 5+years of office management experience including management of direct reports
  • Advanced knowledge of Microsoft Office, particularly Outlook, Word and Excel
  • Can effectively deal with inquiries and engage the appropriate parties to resolve problems
  • Proactive, adaptable, good organizational skills and the ability to multi-task
  • Excellent communication and listening skills
  • Positive efficient and practical approach; team player
  • Innovative ideas on how to enhance the role to make tasks more efficient & effective
  • Development and analysis of budgets, inventories and monthly spending
  • Experience with workplace strategies and enhancing the existing space for a better sense of collaboration/ community

Salary:

The target salary for this role ranges from $70,000 to $100,000 per year. The salary offered will be determined based on the successful candidate s relevant experience, knowledge, skills, and abilities.
