Office Associate

Under the supervisor of the Senior Department Manager, the Office Associate provides a broad range of support services for the Center for Life Sciences Education relating to Workday financial processes, information flow, mail services, document preparation, scheduling appointments, and office reception; prepares and enters Workday requisitions, spend authorizations (travel), expense reports, manages purchasing cards for the unit, and works with vendors as necessary; oversees annual Unit purchasing contracts; reallocates procurement card transactions; provides general office support services relating to general office oversight, attendance at advising meetings, procurement processing, customer service, and document record maintenance; serves as primary liaison for incoming calls, students and visitors to the Center for Life Sciences Education; receives and responds to general inquiries and maintains shared Unit email account; maintains unit email groups; serves as asset coordinator for the unit, maintains equipment and computer logs, tracks and maintains off campus forms (for unit laptops and/or iPads, etc.), oversees annual key and BuckID log reporting, and serves as primary contact for ASC Tech; Manages department key distribution and office room assignments under the direction of the Director and Senior Department Manager; Reserves rooms for conferences, courses, and/or meetings; manages food at related events events; oversees and completes annual equipment audit process for the CLSE in collaboration with lab prep staff; operates office equipment and oversees unit copiers and annual copier maintenance and related office supply orders; assists Senior Department manager, Director. and or Associate Directors with general administrative duties, the development of programs and/or the completion of special projects and/or events, as assigned; assist with room and calendar scheduling; participates in OSU training and professional workshops.

Assist with the coordination and oversight of the Center Director's calendar and related schedule; Anticipates conflicts and makes decisions independently to manage time through coordination and prioritization of the Director's schedule and commitments; Manages travel arrangements and associated reimbursements for the Director; coordinate CLSE visitors invited by the Director in collaboration with the unit fiscal team.

Provides supervision to 3 4 front desk student assistants that monitor incoming front desk calls, distribute mail and other appropriate tracking, as assigned by Office Associate.

Serves as the backup building coordinator for Jennings Hall which encompasses recordkeeping, contacting FOD for maintenance and serving as the liaison between the occupants of the building and the university in regarding to building maintenance/upkeep.

Required: High School diploma or GED. Two years of relevant experience. Background in office management practices and procedures; proficient use of Microsoft office products; strong interpersonal skills.

Desired Qualifications: Knowledge of Workday procurement and procedures; familiarity and understanding of University policies and procedures.

The pay range for this job profile is $21.35 - $27.88. The offer for this position will fall within this range based on internal equity, the unit's available budget, and the candidate's qualifications.
