SUMMARY: The Office Assistant is responsible for providing comprehensive administrative support to ensure the smooth and efficient operation of the office environment. This role includes managing communications, maintaining office supplies, coordinating with departments, organizing documents, and supporting various office functions. This position is essential for upholding office workflows and contributes significantly to an organized, functional, and productive work setting. ESSENTIAL DUTIES and/or RESPONSIBILITIES include the following:
- Assists with Microix tasks
- Handle daily administrative tasks such as answering phone calls, responding to emails, scheduling appointments, and maintaining office calendars.
- Compile, record, and process work orders for rental units. Receive work order calls and inquiries, either by phone or in person.
- Draft, edit, and proofread documents, including letters, memos, and reports. File and archive correspondence and documents for the maintenance and revocation departments.
- Manage the procurement of supplies and materials for maintenance and renovation. Process purchase orders and invoices, and coordinate with finance for payment.
- Schedule meetings, prepare agendas, take minutes, and compile statistical and monthly reports. Support maintenance and renovation teams with reporting requirements.
- Ensure a well-maintained office environment by overseeing supplies and equipment, coordinating repairs, and organizing both physical and electronic filing systems.
- Assist with basic financial tasks, including processing invoices, tracking expenses, and collaborating with finance for accurate documentation.
- Enter and update information in databases and spreadsheets, ensuring data accuracy, confidentiality, and integrity.
- Support team projects with research, data analysis, and presentation preparations.
- Foster a positive and efficient work environment.
- Follow policies, including confidentiality, data privacy, health and safety regulations, and security protocols.
- Perform other duties as assigned

- High school diploma or GED
- At least one year of specialized experience in office administration or a related field, or equivalent academic study above high school
PHYSICAL REQUIREMENTS
- Primarily a sedentary role, though some physical activity may be required, involving standing, walking, and lifting files or supplies of moderate weight (50+ lbs).
CERTIFICATES, LICENSES, and/or REGISTRATIONS:
- Must pass background check and pre-employment drug screen.
- Must have a valid driver's license and be insurable by tribal insurance
KNOWLEDGE, SKILLS, and/or ABILITIES:
- Proficiency in various computer programs and software used in office and maintenance departments.
- Strong oral and written communication abilities; adept at following both oral and written instructions.
- Attention to detail, ability to multitask, and skill in organizing both physical and electronic documents.
- Understanding of maintenance duties and some foundational accounting skills.
