You will work in a small team of Office Assistants to keep the Boston office up and running.Responsibilities include:Manage incoming and outgoing mail including last-minute and overnight deliveriesEnsure the mail and printer rooms are well maintained and tidyOrdering and maintenance of office suppliesMaintain the security system logs, organizing ID cards and building cards for new starters and recovering them from leaversWelcome visitors and direct them accordinglyReceive and log deliveries to the office and notify relevant person of their arrivalAssist with keeping the office tidy, including printer rooms, the kitchens, meeting rooms, and communal spacesAssist with coordinating necessary office maintenanceAssist in conducting monthly health and safety walkarounds for the officeRecognizing when to escalate hazards or issues to manager or Building ManagementHelp in maintaining the First Aid kits in the office and keeping the staff lists up to dateSupport the Office Manager and Kitchen Assistant in organizing events as neededSupport the ordering and putting away of food and supplies for staff refreshments in the absence of the Kitchen AssistantAny other general administration duties required to support the operation of the officeFacilitating new starters and leavers with equipment and set upsGeneral understanding of budget parameters in the role and staying within those guidelines when making purchasesUnderstanding the ESG guidelines and working to improve sustainability in the officeBe proactive with making suggestions to improve processes, recognizing where efficiency gains can be made and playing an active role in trialing these/rolling these outAssist with research and projects as neededResponsible for day-to-day operations of the office in the absence of the Office ManagerAbout You: Good understanding of Office 365 including MS Word, Excel, SharePoint and OutlookEmbodies the Audley values of being positive, being the difference, being one team and being passionate about travelStrong team player who is comfortable working independentlyGood communication skillsDetail orientedAbility to prioritize workload, work independently and support other team members in the absence of a supervisor/managerTo display flexibility to cover the needs of the business.
