We are looking for a motivated and detail-oriented office assistant to support daily operations and maintain an organized work environment. This role involves working across two locations within the same building, providing administrative and facilities support, as well as assisting executives. This is a contract to permanent position based in Hoboken, New Jersey.

Responsibilities:

  • Manage scheduling tasks, including maintaining calendars and coordinating appointments.
  • Perform general administrative duties such as filing, data entry, and document preparation.
  • Ensure the office remains organized and fully stocked with supplies.
  • Assist with facilities management across two locations within the building.
  • Support executives by handling correspondence, preparing reports, and managing travel arrangements.
  • Serve as the point of contact for vendors and service providers.
  • Facilitate smooth communication between different departments and teams.
  • Address day-to-day operational needs promptly and efficiently.
  • Help coordinate meetings and events by managing logistics and materials.
  • Requirements:

    • Proven experience in administrative assistance or a similar role.
