Job DescriptionGeneral Function: Acts as the first point of contact for the President's Office. Provides high quality, enthusiastic customer service to students, faculty, and staff. Provides high level clerical and reception support for the President's Office. Maintains the confidentiality of the office and privacy for sensitive information. Provides support and back-up for the Executive Coordinator and Administrative Coordinator in the operational details of the office. Characteristic Duties: Provides reception and general office support for the President's Office. Greets visitors and answers, screens and directs phone calls. Logs calls and distributes messages, as needed. Provides information and answers questions for individuals and refers them to appropriate resources as needed. Assists with monitoring budget activity and makes recommendations for transfers or adjustments. Processes invoices, check requisitions, purchase orders and other expenditure information and maintains appropriate records for specified programs and projects. Assists with President's and Chief of Staff's travel. Helps maintain the Operations Manual in the President's Office. Opens, sorts and distributes incoming office mail. Assists in mail preparation as needed. Places online service requests with campus Facilities, IT Service Desk, office supply vendor, and others as needed. Provides support for events and meetings, such as room scheduling, catering orders, response follow-up, assembling materials and scheduling/confirming appointments. Provides clerical assistance including proofreading, copying/scanning, and assembling materials. Assists with projects as needed. Performs other duties as assigned. Committed to the values and mission of Harper College. ResponsibilitiesSchedule: 9:00 am - 2:00 pm Hours per Week: Approximately 25 hours per week. Benefits: Prorated Sick & Vacation; Holiday Pay; and 2 Harper Tuition Waivers per semester. Working Conditions/Physical Requirements: Work is primarily indoor and sedentary in nature. Flexibility with work schedule required on occasion (early mornings, evenings and weekends). This position is not eligible for hybrid or remote work. Equipment/Tools Used: Utilize standard office equipment in order to perform duties of the job. Supervision: Under the supervision of the Executive Coordinator to the President. Also receives direction from the President, Chief of Staff/Vice President of External Affairs, and the Administrative Coordinator to the Chief of Staff. QualificationsEducation: High school graduate or equivalent. Some college preferred. Experience: Three years general office experience required. Proficiency using Microsoft Office (Outlook, Word, Excel, PowerPoint) and internet. Excellent written and verbal communication, organizational and critical thinking skills required. Detail oriented; self-starter with high motivation.
