Duties Description The New York State Education Department's School for the Blind is seeking to fill an Office Assistant 2 position. The incumbent of this position should be able to perform a variety of complicated numerical tasks using accepted account keeping, auditing, statistical, or other procedures in which mathematical calculations are fundamental and be knowledgeable of the rules, regulations, procedures and guidelines governing accounts maintenance and fiscal transactions.• Verify invoices against purchasing documents to prepare for payment. Process invoice payments following all NYS policies using the State Financial System. • Maintain school checking accounts, maintain accurate accounting records for each account, and process checks for payment requests.• Maintain school stock rooms and loading dock area to ensure organization and cleanliness.• Issue and deliver inventory requests, monitor usage of inventory supplies, maintain inventory records, and document transactions in inventory management system.• Maintain school equipment inventory. Issue new inventory tags for new equipment, accurately document equipment in inventory management system, and work with the Administrative Specialist 2 to remove equipment items from inventory. Conduct annual audit of equipment. • Maintain school SDS (Safety Data Sheets) for all incoming chemicals.• Sort and distribute incoming mail according to school policy. Create and attach postage for outgoing.• Open and verify all incoming packages with purchasing documents, ensuring the correct items and quantities have been received. Maintain accurate receiving records. Process all outgoing packages, including but not limited to, adding postage and arranging for pickup. • Maintain confidentiality and ensure compliance with SED and school policies and procedures.• Other related duties and projects, as assigned.
Minimum Qualifications MINIMUM QUALIFICATIONS: NY HELPS This title is part of the New York Hiring for Emergency Limited Placement Statewide Program (NY HELPS).For the duration of the NY HELPS Program, this title may be filled via a non-competitive appointment, which means no examination is required but all candidates must meet the minimum qualifications of the title for which they apply. At a future date (within one year of permanent appointment), it is expected employees hired under NY HELPS will have their non-competitive employment status converted to competitive status, without having to compete in an examination. Employees will then be afforded with all of the same rights and privileges of competitive class employees of New York State. While serving permanently in a NY HELPS title, employees may take part in any promotion examination for which they are qualified.NON-COMPETITIVE MINIMUM QUALIFICATIONS: To be considered for appointment through NY HELPS candidates must meet the open-competitive minimum qualifications for this position. The qualifications are:• One year of clerical experience. PROMOTION: Current State employees must have one year of permanent competitive or 55-b/55-c as an Office Assistant 1; or one year of permanent service in a clerical or keyboarding title allocated to Grade 6 or higher. Qualifying titles are available at: MINIMUM QUALIFICATIONS:Eligible List Appointment: Candidates must be reachable on the Civil Service eligible list for this title. Additional Comments CONDITIONS OF EMPLOYMENT: This will be a permanent, competitive appointment or a permanent, non-competitive appointment. Promotions and transfers may change appointees' negotiating unit. Candidates should be aware that changes in negotiating units may affect their salary, insurance, and other benefits. Fingerprinting through the Federal Bureau of Investigation and the Division of Criminal Justice Services, a background check with the Office of Children and Family Services and clearance from the Justice Center Staff Exclusion List is required for employment. The work schedule for this position will be Monday through Friday 7:30 am – 3:30 pm.This position leads to a maximum salary of $52,413 based on annual performance advances. For new State employees appointed to graded positions, the annual salary is the hiring rate (beginning of the Salary Range) of the position.
