POSITION SUMMARY We are seeking an experienced and highly organized Office Administrator to serve as the right hand to a key executive within our client's fast-paced fine jewelry office. The ideal candidate is resourceful, tech-savvy, and thrives on ensuring day-to-day operations run smoothly. You will take ownership of delegated tasks, follow through on time-sensitive projects, and help maintain oversight of key business functions. This is a high-responsibility position ideal for someone who excels at multitasking, problem-solving, and executing in a deadline-driven environment. The office is lean, fast-paced, and hardworking and a great fit for someone who thrives under pressure and enjoys being a go-to support for leadership. ESSENTIAL JOB RESPONSIBILITIES Responsibilities: • Support daily operations and administrative needs for a key executive, including task tracking, project coordination, and internal follow-ups. • Assist with data entry, document creation, and report formatting using Excel, PowerPoint, and proprietary software. • Serve as a liaison between leadership and other office staff to ensure communication and deadlines are upheld. • Coordinate internal logistics such as product returns, inventory entries, and repair workflows. • Help oversee work quality and accountability of other administrative team members as needed. • Troubleshoot operational issues and escalate when necessary to maintain efficiency. • Participate in meetings and take notes or actions as needed to follow through on execution. • Help cross-train other staff on basic administrative processes and documentation. QUALIFICATIONS • Minimum 2-3 years of experience in an administrative or office support role (jewelry or luxury goods industry experience a plus). • Advanced proficiency in Microsoft Office Suite, particularly Excel and PowerPoint. • Experience working in small, high-volume office environments preferred. • Strong written and verbal communication skills. • High degree of discretion and professionalism when handling sensitive tasks. • Associate's degree required; bachelor's degree preferred in business, operations management, communications, or a related field.
