Office Administrator And Clerk To The Board

The Southwestern Commission is seeking a detail-oriented and motivated individual to serve as Office Administrator and Clerk to the Board. This position plays a key role in ensuring smooth daily operations, maintaining official records, and supporting both staff and elected officials across the region. The ideal candidate will be highly organized, personable, and comfortable managing multiple tasks in a fast-paced, team-oriented environment. This role requires professionalism, discretion, and a commitment to excellent internal and external service. The Office Administrator is often the first point of contact for guests and partners, and helps set the tone for a positive and welcoming workplace culture.

Created in 1965, the Southwestern Commission is a regional Council of Government serving the seven westernmost counties of North Carolina, the 17 municipalities therein, and the Eastern Band of Cherokee Indians. Our mission is to improve the quality of life by assisting local governments in reaching their goals. We do this through our departments: Area Agency on Aging, Community and Economic Development, Mountain West Partnership, and Workforce Development. Description of the Work:

  • Serve as the first point of contact for guests to the office
  • Manage incoming communications and distribute appropriately
  • Maintain current contact information for regional officials and partners
  • Monitor and order office supplies and coordinate with vendors
  • Prepare and mail correspondence; manage internal files and documents
  • Schedule meetings, distribute agendas, and take minutes for Board and Executive Committee
  • Coordinate building maintenance, cleaning contracts, and security systems
  • Organize events including Board meetings, the annual dinner, and staff gatherings
  • Reconcile credit card statements with receipts and assist with filing and check distribution
  • Perform general administrative duties as needed

Desired Knowledge, Skills, and Abilities:

  • Exceptional organizational and communication skills
  • Proficiency with Microsoft, Adobe, Google Suite, and virtual meeting tools
  • Strong attention to detail and ability to multitask
  • Ability to work independently and as part of a team
  • Understanding of local government operations is a plus

Minimum Qualifications:

  • Any combination of education and experience equivalent to a two-year associate's degree in office administration, business, or a related field, plus relevant experience in office management.
  • Knowledge of local government processes is preferred.

The salary range for this position is $43,000 to $66,000 and includes a comprehensive benefits package. This position is open until filled.
