Position Summary

The Financial Associate is a key strategic role responsible for managing agency funding that supports our organization's mission and programs. This position is crucial for our growth, requiring a proactive leader who can build strong relationships with funders, help the Executive Director develop compelling proposals, and ensure strict compliance with all grant requirements. The Financial Associate will collaborate closely with program staff, finance, and leadership to drive the entire grant lifecycle-from helping to identify opportunities to managing post-award reporting.

Responsibilities

Grant Seeking and Development

  • Research and Prospecting: Proactively research and identify potential grant opportunities from foundations, corporations, and government agencies that align with our strategic priorities.
  • Strategic Collaboration: Work directly with the Executive Director and program teams to conceptualize and develop compelling grant proposals, including budgets, narratives, and all supporting documentation.
  • Relationship Management: Cultivate and maintain strong relationships with current and prospective funders, acting as a key ambassador for our organization.
  • Process Management: Develop and maintain a comprehensive grant calendar and tracking system to manage deadlines and application requirements efficiently.

Grant Management and Compliance

  • Award Management: Oversee all awarded grants, ensuring full compliance with funder requirements and reporting deadlines.
  • Budget Oversight: Monitor grant budgets and expenditures, ensuring accurate and timely financial reporting.
  • Reporting: Prepare and submit all required grant reports, including progress reports and financial summaries, ensuring they are timely and precise.
  • Documentation: Maintain organized grant files, documentation, and a database of all applications, awards, and reporting requirements.

Accounting Responsibilities

  • Accounts Payable: Manage the accounts payable process for all grant-funded expenses. This includes reviewing invoices, ensuring proper coding to specific grants, and coordinating with the finance department for timely payment.
  • Payroll Allocation: Collaborate with the finance and HR departments to ensure accurate payroll allocation for staff working on grant-funded projects. This involves tracking staff hours, verifying appropriate grant codes for payroll expenses, running payroll, and reconciling these costs against grant budgets.
  • Expense Tracking: Maintain detailed records of all grant-related expenditures, including payroll and accounts payable, to facilitate accurate financial reporting and audits.

Internal Collaboration and Communication

  • Cross-Functional Partnership: Serve as the primary liaison between the development, program, and finance teams, ensuring seamless communication and collaboration on all grant-related matters. This includes coordination to ensure that all grant-related expenses, including payroll and accounts payable, are properly coded and tracked and providing cross-training on grant-related knowledge.
  • Staff Empowerment: Provide training and support to staff on grant-related processes, procedures, and best practices to ensure organizational-wide understanding and compliance.
  • Strategic Planning: Actively participate in team meetings and contribute to broader organizational planning, providing insights on funding opportunities and trends.

Qualifications

  • Education: Bachelor's degree in a relevant field (e.g., nonprofit management, public administration, communications, or a related field) is preferred.
  • Experience: A minimum of 5 years of experience in management, preferably in a nonprofit setting, with a proven track record of managing significant funding sources.
  • Skills:
    • Exceptional writing and editing skills, with a portfolio of successful grant proposals.
    • Strong financial literacy and experience in budget development and management.
    • Excellent organizational and time management abilities, capable of managing multiple projects and deadlines.
    • Proficiency with Microsoft Office Suite and grant management software.
    • Outstanding communication and interpersonal skills to collaborate effectively with diverse stakeholders.
