POSITION: Middle/High School Secretary LOCATION: Winlock Middle/High School DAYS/HOURS: 208 Days, 8 hours per day, Monday-Friday RESPONSIBLE TO AND EVALUATION BY: Middle/High School Principal BENEFITS: Medical, dental, vision, retirement, sick leave, personal leave, and holiday pay Position Summary The Middle/High School Secretary plays a vital role in ensuring the smooth daily operation of Winlock Middle/High School by serving as the central point of contact for students, staff, parents, and community members. This multifaceted position requires exceptional organizational, communication, and multitasking skills to manage a wide range of clerical, financial, student support, and health-related responsibilities along with other duties assigned by the principal. Essential Duties and ResponsibilitiesFront Office Operations
  • Receive and route incoming telephone calls; take and relay messages as necessary.
  • Greet, assist, and direct students, parents, and visitors in a professional and friendly manner.
  • Monitor and support the orderly flow of visitors and ensure district security protocols are followed.
Student Records and Registrar Support
  • Prepare and transmit student transcripts to other schools and colleges upon request.
  • Support the registrar as needed with student records and cumulative files.
  • File, issue, maintain, and distribute student report cards.
  • Maintain accurate and updated student and office records and filing systems.
Health and Safety
  • Provide first aid and emergency care to students, including diabetic support, under PDA training and district health procedures.
  • Maintain health-related documentation and coordinate with the school nurse for ongoing student needs.
Financial and Purchasing Responsibilities
  • Prepare cash boxes for school events and receive, record, and receipt all funds.
  • Maintain accurate ASB bookkeeping and support school and district-level audits.
  • Prepare purchase orders for ASB, CTE, General Fund, Athletics, and other WMHS purchasing needs.
  • Make timely bank deposits, maintain tracking logs, and provide the District Office with copies.
  • Monitor and order office and school supplies, as per budget.
Student and Staff Support
  • Supervise all student office TAs, ensuring appropriate training and task delegation.
  • Provide clerical support to the Athletic Director including preparation of athletic certificates, game programs, fines/fees lists, and award documentation.
  • Assist with the coordination and execution of awards night, graduation programs, and Honor Roll/Perfect Attendance certificates.
  • Manage locker rollover and year-end reports.
  • Manage keys and key cards.
Communication and Technology
  • Update internal phone lists, staff mailboxes, and emergency contact information.
  • Distribute robocalls, newsletters, and urgent communications using Skyward, Parent Square, and Thrillshare systems.
  • Coordinate email communications and other digital messaging tools to parents and staff.
  • Prepare field trip rosters and forms.
  • Support coordination with Bell Studios, graduation photographers, and related vendors.
Minimum Qualifications
  • High school diploma or equivalent; Associate degree or relevant coursework in business or clerical field preferred.
  • Five years experience in a school office or similar setting is strongly preferred.
  • PDA training and valid First Aid/CPR certification (or willingness to obtain).
  • Strong computer skills, including proficiency with Microsoft Office Suite, Skyward, and digital communication tools.

  • Flexible and adaptable to the evolving needs of a small rural school district.
Preferred Skills, Knowledge and/or Abilities
  • Knowledge of FMX, InTouch, RDS, Google Sheets, Forms, etc..
  • Strong interpersonal skills with the ability to maintain professionalism and confidentiality.
