JOB TITLE: Membership Clerk EMPLOYER: Boys & Girls Club of Lake County (BGCLC) DEPARTMENT: Program Department REPORTS TO: Respective Program Manager STATUS: Part-Time, Non-Exempt PAY: $18-$21/hour START DATE: Immediate SUMMARY: The Membership Clerk serves as the first point of contact at assigned Club sites, providing a welcoming and safe environment for members, families, and visitors. This position manages member sign-in/sign-out, maintains accurate records, communicates with parents and guardians, and supports program staff with essential information and front desk coverage. The role also reinforces Club policies, builds strong family relationships, and ensures consistent member engagement and accountability. Typical shifts vary by site and generally fall between 2:15 PM and 7:00 PM on weekdays. DUTIES AND RESPONSIBILITIES:
- Greet members, families, and visitors in a warm and professional manner.
- Monitor and enforce sign-in/sign-out procedures to ensure member safety and accountability.
- Direct youth to appropriate program areas and communicate effectively with parents/guardians.
- Provide translation support for Site Managers, including during disciplinary conversations.
- Communicate timely updates to parents about Club programs, schedules, and events.
- Collect and track permission slips, parent forms, and other required documentation.
- Register all guests and volunteers and ensure proper check-in procedures are followed.
- Enter and update member data in the Membership Tracking System accurately.
- Process membership payments and maintain accurate records for audit purposes.
- Maintain and update member files and contact information regularly.
- Keep bulletin boards, parent information areas, and signage current and visually engaging.
- Maintain the site's calendar of events and promote upcoming programs.
- Enforce Club rules and model respectful, responsible behavior for members.
- Attend staff meetings and required trainings.
- Provide general administrative support to Site Managers and program staff as needed.
SUPERVISORY RESPONSIBILITIES: This position has no direct supervisory responsibilities. QUALIFICATIONS:
- High School Diploma or GED required.
- Bilingual in English and Spanish required.
- Minimum age of 18 years.
- Experience working with youth ages 6-18 preferred.
- Strong verbal and written communication skills.
- Proficiency in typing, filing, and data entry.
- Ability to manage multiple priorities with accuracy and professionalism.
- Must pass a background check, drug test, and provide proof of eligibility to work in the U.S.

PHYSICAL DEMANDS AND WORK ENVIRONMENT:

- Occasionally required to lift and/or move up to 25 pounds.
- Standard office and youth program environment with moderate noise level.
- Ability to work weekday afternoons and early evenings on-site at assigned Club locations.
