Job Description :
Responsibilities:Provide administrative support to the Chief Administrator of Membership and Guest Services, and act in a central role for the following:
  • Processes department's purchase orders and tracks budgets through Museum's accounting system and department-specific spreadsheets. Acts as the central contact for budget planning
  • Responds to donation requests of complimentary memberships and guest passes from the community, coordinates materials, and tracks donations and redemptions
  • Orders name plates for employees of guest-serving departments
  • Assists with research, presentations, and reports
  • Arranges department's travel, including travel for consultants
  • Answers, directs, and fields incoming phone calls to the Chief Administrator of Membership and Guest Services
  • Organizes files of archival materials and collateral for the Chief Administrator of Membership and Guest Services and manages the organizational structure of the department's shared electronic folders
  • Arranges meetings, including coordinating participants, room bookings, and room set-up, on behalf of the Chief Administrator of Membership and Guest Services
  • Gathers information about constituents from the Museum's customer relationship management system (Tessitura) to assist with customer queries on behalf of the Chief Administrator of Membership and Guest Services
  • Acts as the point of contact and handles special requests for admission and memberships
  • Acts as supervisor's proxy to approve purchase orders and employee timesheets
  • Supports Chief Administrator of Membership and department with a diverse array of special projects. Past special projects have included benchmarking studies with peer U.S. museums and finding a coffee supplier for the Members Lounge
  • On occasion, provides on-site support at programs or events (some evenings and weekends will apply)
Skills, Knowledge and Abilities:
  • Strong clerical, organizational, and word processing skills (proficient in Microsoft Office Suite, especially Word and Excel)
  • Strong spelling and grammar skills
  • Meticulous attention to detail
  • Good communication and interpersonal skills, able to conduct well with the public and use good judgment
  • Pleasant and professional telephone, email, and in-person presence
  • Motivated and able to perform tasks with light supervision
Education and Experience:
  • Bachelor's degree in related field; OR, any equivalent combination of related work experience and/or education from which comparable knowledge, skills and abilities have been achieved.
  • Experience working in an office environment; customer service or hospitality preferred
  • Previous clerical/administrative support experience
  • Experience navigating a database
  • Experience handling money and confidential personal information
  • Experience with customer relationship management system, ticketing, or retail system
