Primary Purpose of Position: Reporting to the Director of Nursing, the Medical Assistant Manager assists providers by performing a variety of patient flow, supply and environmental duties to support the health care team in the delivery of high-quality patient care. The Medical Assistant Manager is responsible for overseeing the day-to-day operations of the medical assistant team with both administrative and clinical tasks, including managing direct reports, creating schedules/coverage, performance monitoring, adherence to protocols, hiring, training, and providing disciplinary action when needed. Essential Functions: • Hire and supervise medical assistants in collaboration with the clinical leadership team • Manage and approve timecards • Work directly with medical assistant leads to ensure compliance with the MA job description, best practices, job satisfaction, and managing staffing levels to support patient care needs • Ensuring that MA staff schedules are developed, communicated, and fulfilled. • Identify learning and training needs for medical assistants throughout OCHS at each location (Harwich, Wellfleet, and Provincetown). • Collaborate with Director of Nursing, Nurse Managers, CMO, and Senior Medical Director to review and update clinical training as needed to ensure it meets the learning and training needs of the team. • Lead designated training sessions and ensuring information is appropriate and understandable. • Works with clinical leadership to update and revise competency checklists to ensure compliance with MA expectations. • Serve as point person for IT to coordinate training and equipment as needed. • Order medical equipment, supplies and medications in collaboration with the site Nurse Managers. • Collaborates with the clinical leadership team to implement team-based care workflows, with key functions being a champion for team-based care and providing training for medical assistants to ensure technical skills and workflows evolve with the transition to the team-based care model. • Serves as a mentor and resource to staff. • Oversight of medical assistant students. • Oversight of remediation for medical assistants when needed. • Oversight of training and orientation for all newly hired MAs. • Monitors and maintains effective workflows. • Schedules and leads regular MA staff meetings. • Provides informal coaching and formal annual reviews for MA staff as indicated • Participates in committees, attends meetings, and works to achieve committee goals. • Assists with data collection, reporting, and adherence to quality standards. • Other related duties and projects as assigned. Non-Essential Functions: • Reviews electronic medical records (EMR) prior to patients scheduled appointment to assure that all lab results, consult reports and hospital discharge records are available to the provider and notes dates of most recent primary care screening tests. • Properly identifies patients and escorts them to the exam room; reviews and records reason for visit, current medications, and updated history. • Provides patient with forms to be completed prior to provider visit (learning needs assessment, depression screen, consent forms as necessary etc.) or ensures necessary forms are completed on rooming tablet. • Accurately performs and records patient vital signs, height, weight and oxygen saturation as appropriate. • Assists in preparing patients for examination; assists patients in undressing, dressing, and getting on and off the examination table. Notifies the provider of the patient's arrival and readiness for their examination. • Assists providers with patient examinations and procedures, including (but not limited to) minor surgical procedures, GYN exams, diagnostic studies, and treatments. Operates and monitors functioning of equipment; hands instruments to the provider; comforts patients. • Recognizes and reports to providers any abnormal vital signs; recognizes potential emergency situations, seeks assistance, and intervenes appropriately. Notifies the appropriate person in the event of a medical emergency; assists provider in rendering emergency care as directed by provider. • Prepares and administers vaccines as directed by the clinician and/or OCHS standing orders. • Applies and removes dressings under the direction of the provider. • Conducts hearing, vision, breathing and EKG testing; records results in EMR; reports abnormal findings to provider. • Performs CLIA waived point of care testing. • Labels, collects and prepares lab specimens; Handles all specimens using Universal Precautions. • Delivers all lab specimens to lab as indicated. • Participates in quality assurance activities and all training seminars (OSHA and others). • Interacts and communicates professionally with co-workers. • Maintains patient confidentiality at all times. • Maintains a pleasant, respectful and courteous demeanor at all times with patients and coworkers; uses discretion in conversations and maintains awareness of HIPPA regulations. • Cleans wraps and sterilizes instruments according to policy and procedure for reprocessing of instruments. • Keeps exam rooms stocked, clean and orderly in accordance with infection control and HIPPA standards; monitors rooms for patient safety; documents inspection of rooms twice daily. • Other duties as assigned. • Attend periodic staff meetings. • Adhere to OCHS policies. • Adhere to OCHS values and principles. QualificationsQualifications: • 5+ years of experience as a Medical Assistant (MA), 1+ year of leadership experience • Position requires knowledge equivalent to graduation from high school and successful completion/certification as Medical Assistant. • CMA and BLS certifications are required. • Excellent interpersonal skills, communication skills, organizational abilities, computer experience, and the ability to work within a collaborative team setting. • Excellent written and verbal communication skills - bi-lingual helpful • Proficiency in computer skills including EPIC, Outlook, Microsoft office, OneDrive etc. • Excellent judgment and ability to solve problems in a timely manner. • Ability to adhere to strict confidentiality standards. • Demonstrated ability to work effectively both as a team member and independently. • Demonstrated ability to work in a culturally diverse and inclusive environment. Physical Requirements: This is a physical job by nature which is 50% clinical and 50% administrative. Must be able to travel throughout the area by personal vehicle. Primarily located in Harwich with 1 day per week dedicated to either Wellfleet or Provincetown. Requires being able to sit and/or stand for long periods of time as well as the ability to use computers and a phone. Internal and External Contacts: Interfaces regularly with employees and patients in person, on the phone, and via email. Reporting Structure: This position reports to the Director of Nursing.
