Salary/Comp: $375K - $700K (DOE) + small discretionary bonus + benefits, 401K, profit sharing

Requirements:

- 7-10 + years exp. within family office/asset management industry

- Undergraduate degree required, advanced degree preferred

- must have experience managing multiple properties/estates

- this person must have high emotional intelligence, and be an ultra effective communicator

Job

The Managing Director of Admin + Operations (MD) is responsible for overseeing the day to day administrative, HR, property & aircraft management, IT, and operational functions of a private Family Office (FO), ensuring a commitment to operational excellence and consistent best in class service delivery to the Principals. The MD will act as the primary liaison between the FO and the Principals and will ensure ongoing alignment with FO priorities as determined by the Principals.

Reporting directly to the Principals and closely liaising with their Advisors, the MD leads a team of highly professional and skilled FO administrative, operational, and property staff, and has overall responsibility for ensuring the efficient and effective delivery of concierge services; property and personal asset management; documentation, processes, and systems management; risk and compliance management; and coordination with administrative/operational external advisors and vendors. The MD will foster a positive, collaborative, and inclusive work environment promoting teamwork, professional development, and mutual respect.

Responsibilities include but are not limited to:

Compliance, and Risk Management

  • Monitor and manage risk management policies, adapting in consultation with Principals and Chief Advisor.
  • Oversees implementation of adequate risk management program, including administration of insurance coverage for property, casualty and liability insurance for all properties and personal effects.
  • Ensure financial stewardship and safekeeping of family assets and confidential information.
  • Interfaces with external auditors in the monitoring of controls.

Administration and Operations

  • Oversee and maintain data, cyber, and physical security systems that conform to “best practices”.
  • Vets and maintains relationships with service providers; act as liaison between the Principals and service providers and proactively coordinate with all to ensure that family needs and objectives are met at the highest level of excellence; coordinate strategies and monitor fees, commitments/agreements; serve as an advocate for the Principals with advisors/service providers; ensure optimal performance and achievement of advisor/service provider goals.
  • Oversee all IT systems to properly manage and secure Principal's personal and financial affairs.
  • Collaborate with FO staff to leverage technology to streamline processes, procedures, and operations.

Property Management

  • Oversight in close collaboration with the Director, Residential and Construction Projects of property security systems.
  • Oversees operation/management of real estate properties, automobiles, aircraft, collections, and other personal property.

Project Management

  • Organizes special projects as requested by Principal and identifies outside resources that can be of benefit to Principal.
  • Develop project plans, allocate resources, and monitor progress to ensure successful completion within established parameters.
