Scope

This role oversees company operations, including warehouse, procurement, inventory control, logistics, facilities, and depot repair services for optical medical devices in an FDA-regulated environment. The Manager will ensure appropriate inventory levels, efficient fulfillment, quality control, and continuous improvement of the depot repair area. This position requires interfacing with R&D, Operations, Quality Assurance, Customer Care, Accounting, and global colleagues to resolve product issues, support customer repairs, and deliver high-quality products on time and within cost targets.

The ideal candidate will be a strong operational leader with technical expertise, capable of managing cross-functional teams while fostering continuous improvement, compliance with regulatory standards, and organizational efficiency.

Responsibilities

Operational Leadership

  • Direct procurement, inventory control, warehouse, logistics, facilities management, and depot repair functions.
  • Establish processes and KPIs for inventory and fulfillment, ensuring alignment with Sales, Finance, and Leadership objectives.
  • Oversee international and domestic shipping, ensuring accurate regulatory documentation and scheduling.
  • Manage facilities functions including site repairs, preventive maintenance, and workplace safety compliance.
  • Lead capacity planning and budgeting for all operational departments.

Depot Repair & RMA Services

  • Supervise instrument repair technicians, ensuring adherence to quality and safety standards.
  • Develop and maintain clear repair procedures, quality instructions, and test processes.
  • Troubleshoot and resolve repair problems quickly, escalating to R&D or Quality as required.
  • Coordinate availability of quality parts and materials with Operations for repair and manufacturing needs.
  • Implement efficient workflows to increase productivity, reduce inventory, and improve repair turnaround times.
  • Provide Quality Control (QC) oversight of incoming inspections and repaired products, enhancing QC efficiency.

Team Management & Development

  • Build, develop, and retain a high-performing leadership and technician team across all functional areas.
  • Cross-train staff for redundancy and continuous coverage.
  • Provide ongoing training, performance evaluations, and career development.
  • Promote a culture of continuous improvement and operational excellence.

Reporting & Continuous Improvement

  • Generate inventory reports, cycle counts, repair metrics, and forecast analyses for leadership.
  • Identify process improvement opportunities to enhance quality, reduce costs, and streamline operations.
  • Maintain records required for FDA, ISO 9001/13485, and internal audits.

Requirements

  • Education: Bachelor's degree in Supply Chain, Engineering, or related field.
  • Experience: Minimum 5 years in operations management (warehouse, logistics, inventory) in a regulated environment.
  • Technical knowledge of electro-mechanical/electro-optical systems; medical device experience.
  • Experience leading depot repair or RMA service operations is a strong plus.
  • Skills: Strong understanding of cGMPs, FDA, and ISO regulations.
  • ERP and service systems knowledge (SAP, FSM, Salesforce).
  • Exceptional leadership, communication, and relationship-building skills.
  • Budgeting and capacity planning experience.
  • Ability to lift up to 50 pounds and perform light facilities work.

  • Position requires on-site presence in Lombard, IL.
  • Must be able to complete physical requirements of warehouse and depot repair environments.
  • This role involves hands-on work in warehouse and repair areas.
