Manager of Foundation Relations & Grants
Basic Function and Responsibility:This position exists to manage the process of raising foundation grant income to further the mission and vision of Biola University. The focus of this position is the management of the process of research, identification, writing, tracking and reporting for institutional grants from foundations.
Essential Duties:Under the leadership of the Senior Director of Advancement Operations, this position manages and supervises the process of foundation research and prospecting, writing and applying for, and reporting on and tracking grants, as well as directing a program of grants management, for the purpose of generating grant income for Biola University. Specific responsibilities include the following:
Prospect ResearchProactively identify foundations that are likely to support the university's capital campaign and other institutional priorities and projects. Explore creative options and make recommendations for funding matches between Biola and foundations.Evaluate each foundation to develop a strong understanding of its needs, desires and preferences so a potential project recommendation can be made. Determine the likelihood of receiving a grant and propose options for approaching foundations successfully.Work with the Senior Director of Advancement Operations to develop and implement a cultivation strategy for new prospects and existing foundation partners in order to meet yearly goals and priorities.Develop and maintain a comprehensive knowledge of foundation research sources.Maintain an appropriate library for foundation research in online and other forms as needed.Coordinate all research and proposals with the Office of Academic Research and Grants to ensure that all foundation communications are organized and appropriate for the maximum benefit to the university. And demonstrate to foundations a coordinated communications and solicitation plan.Proposals and Writing ProjectsIdentify with the Senior Director of Advancement Operations appropriate strategies and context for proposals to be written to qualifying foundations. Write compelling case statements and proposals for campaign and institutional priorities as well as other university projects. Research topics relevant for proposal development. Meet with key stakeholders to obtain project details and coordinate dates and schedules.
Prepare grant proposals that are appropriately tailored to individual foundation and RFP requirements. Modify and update existing proposals as needed.Support the work of the senior advancement team and frontline fundraisers by providing new and existing proposals as needed.Direct the collection of institutional information needed for grant proposals. Disseminate information as needed in the format appropriate to each use.Prepare appendices and all other material required to accompany grant proposals according to each foundation's expectations.Reporting and StewardshipManage the acknowledgment process when grants are received. Note when follow up reports are required and ensure that foundation deadlines are met. Proactively identify what information must be reported, collect needed information, and draft and prepare follow up materials keeping the Senior Director of Advancement Operations informed.
Prepare reports to foundations regarding the use of grant funds received according to the requirements or expectations of each foundation; prepare cover letters to be sent under appropriate signature.Track the cultivation process for each foundation approached through the foundation office. Identify appropriate next steps and monitor progress towards fulfilling follow up assignments. Note when we may solicit a foundation for additional funding and initiate the solicitation process at the appropriate time.Grant ManagementCoordinate the routing of all proposals for internal approval. Oversee the submission and approval process for all grant agreements.
Keep relevant faculty and project leaders informed of upcoming deadlines to ensure that grant reports are completed, accurate and timely. Audit each faculty and special project grant budget two times a year.Create and maintain a deadline-driven calendar of all activities related to foundation giving (both Advancement and Faculty Foundation programs) including: proposal submission due date (internal and external), amount asked, project leader, reporting deadline (internal and external). Tracking yearly production totals.Oversee the maintenance of foundation files in the RE, including entering actions and uploading proposals, reports and other relevant documents. Manage the collection of institutional information needed for all grant proposals. Disseminate information as needed in the format appropriate to each use.Government GrantsOversee the approval process and submission for all government grants. Ensure that every government grant submission receives approval from the Government Funding Authorization Committee prior to submission.
Maintain any accounts associated with submitting a government grant. Ensure that Biola maintains its eligibility to apply for various government grant opportunities. Serve as the university's authorized organizational representative to submit grant applications and reports.Serve as the university contact for Biola's work with our government grants consulting firm, helping to identify the best projects for pursuit, attending all meetings associated with pending grant projects.Perform other duties as assigned.

Hiring Range: $70,234.00 - 79,500.00
