Mailroom Clerk/Purchasing Assistant
Performing general tasks associated with the daily operation of the university mailroom and assisting in Purchasing duties.
Joining our Business Affairs team, the Mailroom Clerk/Purchasing Assistant will be responsible for the following:
- Assist Mailroom Supervisor with receiving, sorting, and distributing incoming mail and campus communications to the entire campus community.
- Post outgoing mail using postage machine
- Deliver/collect correspondence/packages from Administrative Offices
- Assist with monthly recordings of Business Reply, meter mail and bulk mail
- Assist Mailroom Supervisor with assigning student mailboxes and keys
- Provide window service to students, faculty, and staff
- Fax Machine: responsible for logging and distributing university faxes according to university policy
- Cover vacations to always ensure appropriate staffing
- Assist Purchasing when needed (opportunity for advancement)
- Assist individuals in solving their purchase requests and needs. Clarify information and explain procedures. Ensure purchases are made in a manner that is cost effective for the University
- Initiate and maintain contacts with vendors and vendor sales and service representatives
- Process purchase orders through an administrative computing system. Oversee receipt of goods and approval of payments by ordering departments. Work with Accounts Payable to process payments in a timely manner
- Other duties as requested by Mailroom Supervisor and Purchasing Coordinator
Minimum Qualifications:
- High School graduate or equivalent
- Driver's License
- Accuracy and attention to detail
- Good handwriting is a must
- Previous mailroom experience
- Basic Computer Skills: Excel and word
- Good interpersonal skills and oral communication skills
- Ability to lift at least 50 pounds
General Physical Requirements: Light Work: Exerting up to 25 pounds of force occasionally and/or a negligible amount of force constantly to move objects; desk job with majority of sedentary work sitting roughly 50% or greater of the workday.
