The Mailing Operations Support position plays a key role in managing the daily flow of mail and packages throughout the organization. Associates may be assigned to focus on incoming mail, outgoing mail coordination, or managing mailing-related requests. This position ensures timely and accurate mail handling, supports communication through designated platforms, and helps maintain efficient mailing operations.

Essential Duties

Incoming Mail Support

  • Receive, sort, and date-stamp incoming mail and packages.
  • Identify and document returned mail in accordance with departmental procedures.
  • Route returned items to the appropriate contact or department for further handling.
  • Scan and electronically route documents to the appropriate department inboxes.
  • Deliver sorted mail and packages throughout the office in a timely and organized manner.

Scanning Support

  • Operate scanning equipment to digitize incoming mail.
  • Assist with department-level scanning tasks and larger scanning projects.

Outgoing Mail Support

  • Facilitate outgoing mail operations in collaboration with Mailing Assistants.
  • Assist with reviewing, assembling, and preparing mail packets for postage and distribution.
  • Ensure outgoing mail is prepared in accordance with mailing type, urgency, and departmental procedures.
  • Track outgoing mail volumes and contribute to the execution of special mailings or projects.

Request and Communication Management

  • Respond to mailing-related inquiries submitted through the Communication module or email.
  • Route or escalate requests as needed and follow up to ensure completion/resolution.

Equipment Operation and Maintenance

  • Operate mailroom equipment such as scanners, postage meters, openers, and carts.
  • Perform routine maintenance tasks and report equipment issues to the supervisor.

Team Collaboration and Communication

  • Assist colleagues during high-volume periods or special assignments.
  • Stay familiar with office and department locations for accurate mail delivery.
  • Communicate any delivery issues or mail concerns clearly and promptly.

Confidentiality and Compliance

  • Handle all mail and materials with discretion, ensuring compliance with privacy protocols and USPS regulations.
  • Adhere to departmental procedures and organizational standards.

Additional Responsibilities

Education
  • High School diploma or equivalent preferred
Work Environment

This job operates in a professional office environment. This role routinely uses standard office equipment such as computers, phones, photocopiers, filing cabinets and fax machines.
