Position Overview:

This role is responsible for administering time off, leave, and disability requests.

Particularly those arising under the Family and Medical Leave Act (FMLA), state and local

leave laws, short-term or long-term disability plans, paid parental leave, time off plans,

and Americans with Disability Act (ADA) Accommodations.

Job Qualifications:

  • Critical thinking skills

  • Dutch Bros experience, preferred

  • 1 year of customer service

  • Must have good verbal and written communication skills and problem-solving skills

  • Experience with Google Suite and Microsoft Office Suite

  • Organizational skills and attention to detail

  • Understand and enact the ethical standards of an HR professional

  • Excellent social skills; able to operate with diplomacy, tact, and empathy

Location Requirement:

This role is located in Tempe, Arizona. This position is required to be in office 4 days per week (Mon-Thurs); Fridays are optional remote work days.

Key Result Areas (KRAs):

Legally Administer Leaves of Absence (LOA) and Accommodations for All Eligible

Employees:

  • Serve as a central point of contact for all LOAs, including FMLA, State Family Leaves, Short-term Disability, Long-term Disability, Military, General, and Paid Parental Leave

  • Support HRBPs with initiating the interactive process for employees needing accommodations related to the ADA or otherwise. Manage the process through to completion.

  • Process and handle all employee medical leave benefits utilizing AbsenceSoft for employee leave as well as other tracking methods.

  • Work with outside vendors to ensure excellent service and communication between vendors and employees and their leaders

  • Independently approve/deny leave cases based on relevant information

  • Coordinate and organize medical information and ensure that HIPAA and Employee Privacy guidelines are closely monitored and effectively executed

  • Research and maintain knowledge of all applicable leave and accommodation laws including the FMLA, ADA, OFLA, WFLA, CFRA and other state and local laws.

  • Update policies as necessary

  • Administer Dutch Bros paid parental leave program for all eligible employees

Effectively Communicates with Employees and Supervisors Regarding Current and

Upcoming Leaves and New and Ongoing Accommodations:

  • Maintain effective communication with HRBPs, operators and employees to facilitate understanding of leave and ensure a smooth and timely return to work

  • Work with employees and outside vendors to develop creative solutions to meet employees' accommodation needs without creating undue hardship for the company

  • Relay communication between employees and their managers during leave within reason

  • Communicate with managers, HRBPs and Operators on employees' leave status (i.e. potential leave, approved leave, the timeline for leave, expected return to work date)

  • Oversee the return-to-work process for employees returning from extended FMLA, and other leave(s)

  • Answer questions and troubleshoot issues regarding employee time off plans and usage with internal stakeholders

Physical Requirements:

  • In-Office Environment: Must be able to work in a busy, crowded, and loud office with frequent distractions and interruptions

    • Must be able to collaborate in-person with occasional impromptu in-person meetings

  • Office Conditions: Adaptability to typical office conditions, which may include exposure to air conditioning, heating, artificial lighting, and varying noise levels

  • Mobility: Ability to sit, stand, reach, twist, stretch, and work at a desk for long stretches. Must be able to occasionally move or lift office items up to 25 pounds

  • Hearing Requirements: Hearing must be sufficient or correctable to ensure clear understanding of spoken information, including participating in virtual meetings and phone calls. Use of hearing aids or other assistive devices is acceptable if needed.

  • Reading and Writing Proficiency: Ability to read and write in English is essential for processing documents, drafting reports, and following up on necessary actions. Proficiency in written communication is required to handle job-related tasks effectively.

  • Vision Requirements: Vision must be adequate or correctable to perform essential job duties, such as reading documents on a computer screen and using other visual tools. Use of corrective lenses or other measures to meet visual requirements is expected if needed.

  • Technology Proficiency: Must be proficient in operating a computer and other office productivity tools such as printers, scanners, and collaboration software.

  • Effective Communication: Must possess strong verbal and written communication skills to interact effectively with team members, clients, and other stakeholders via email, video conferencing, and other in office communication tools.

Compensation:

$26.44 - DOE
