About Our Organization Founded in 1968, The Studio Museum in Harlem is a cultural leader that champions and preserves the prolific legacy of artists of African descent while simultaneously promoting critical thinking about art, culture, and community. Born out of an urgent need amid the political, social, and cultural ferment of the late 1960s, the Studio Museum was founded to create a new paradigm in which institutionally ignored artists of color would be seen, discussed, rewarded, and made known to the public. Today, the Studio Museum continues to serve as the nexus for Black artists locally, nationally, and internationally, and for work inspired and influenced by Black culture. Job Summary The Learning & Engagement Assistant will be responsible for the scheduling and administration of the Group Visits program and supporting the day-to-day function of the Learning & Engagement department. This position assists department staff with essential tasks and projects that ensure programs and partnerships run smoothly, including, processing invoices and payment requests, assisting with seasonal outreach, recruitment, and selection for application-based programs, ordering program supplies, handling program inquiries from the public, and other administrative duties. This position reports to the Director of Education, will work closely with members of the Learning & Engagement department, and will have regular interaction with other museum staff and visitors. Essential Duties and Responsibilities
  • Oversee the scheduling, implementation, and evaluation of museum group visits, including gallery talks, guided tours, and art making workshops.
  • Serve as the primary point of contact groups; liaise between group visit contacts and museum educators.
  • Receive and reply to all group visit inquiries, scheduling as assigned, assigning museum educators to tours and workshops accordingly.
  • Support program preparation and implementation, including scheduling, ordering, tracking, and transporting supplies, submitting event and task support forms, setting up and monitoring program registration, and organizing program documentation (photo/video/written).
  • Input, organize and maintain department s program and constituent records in Tessitura networks, supporting Learning and Engagement data analytics, reporting, and communication processes.
  • Liaise with Archives and Collections Database managers for ongoing maintenance of Learning and Engagement files in NetX digital asset management system, respond to image and caption requests.
  • Prepare and track department invoices, submit and track monthly expense reports.
  • Compile and organize program evaluation data and statistics, including annual year-end reports.
  • Handling general Learning and Engagement program inquiries from the public, and monitoring general learning and engagement team email inboxes.
  • Transport materials between museum offices and partner sites, as needed.
  • Inventory and ordering Learning and Engagement office supplies.
  • Organize and carry out department mailings.
  • Collaborate as needed with Learning & Engagement staff on special projects.
  • Other duties as assigned.

  • Ability to assess and manage multiple competing priorities and work well under pressure, excellent time management, problem-solving, analytical and interpersonal skills.
  • Has excellent written and oral communication skills, and the ability to work with close attention to detail.
  • Able to demonstrate proficiency with and accuracy in using MS Office products, including Word, Excel, Outlook, PowerPoint, SharePoint, Teams, and other related software applications. Tessitura/TNEW experience is a plus.
  • Able to demonstrate the ability to work professionally and tactfully, represent the Museum with a high level of integrity and professionalism, adhere to Museum policies and support management decisions in a positive, professional manner.
Education and Experience
  • BA/BFA in art, arts administration, art history, art education, African American Studies, or an equivalent combination of education and experience in related fields.
  • 1-2 years museum experience.
Physical Demands This position does not have any physical demands. Work Environment
  • This position is considered a non-exempt position for purposes of federal wage and hour law, which means that you will be eligible for overtime pay for hours in excess of 40 in a given workweek.
  • Fast-paced environment with varying levels of guests and employees present.
  • Building Accessibility office locations are wheelchair accessible, with elevators in the building. Other accessibility accommodations can be further discussed.
  • Office desks include acrylic partitions, and the Museum adheres to COVID-19 safety guidelines as mandated by New York City and State.
Compensation $28.57 - $30.00/hr Salary is commensurate with experience within the guidelines of a small not-for-profit.
